General Description / Primary Purpose:

The essential function of this position is to assist in organizing office functions that support the smooth and efficient running of the Undergraduate Studies, Student Academic Success Services, and College Advising units. This will ensure student and parent satisfaction and positive interaction within the university community. This position helps support an office that provides academic advising, supplemental instruction, peer tutoring, mentoring, intervention, career services, experiential learning, new student orientation, and referral to all support services on campus. Currently, the office provides services available to all UNF students and serves a population of 4,500+ for academic advising.

Job Function:

  • Provide instruction and guidance to assist students with advising appointments or other request as needed.
  • Provide assistance regarding student processes and administrative processes as it related to programs, and services on campus.
  • Provide customer service to our guest, students, and parents as this position will be the first point of contact.
  • Performs one or more administrative functions while working directly with students and families to answer educational questions and concerns.
  • Assist Academic Advisors and above in the overall administration pertaining to the departments.
  • Recommends improvement to internal functions using working knowledge of the office policies and procedures.
  • Perform processing and work tasks.
  • Coordinate with several on-campus units for various activities and events.
  • Serve as liaison with other university departments.
  • Maintain student record confidentiality at all times.
Marginal Functions:

  • Flexible to assist in various office work areas as needed in Undergraduate Studies.
  • Clerical office functions such as typing, filing, making copies and errands as needed.
  • Correspondence/emails to students and university personnel.
  • Set up office/conference rooms for meeting and events as needed.
Required Qualifications:

High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Departmental Requirements:

  • Basic English and language skills (proofing, editing) for completion of memos, letters, evaluation reports and surveys and other similar documents.
  • Ability to perform duties in heavily trafficked spaces.
  • Ability to learn and perform all essential job functions accurately and safely with minimum supervision.
  • Knowledge of principles, techniques, and application of effective verbal, electronic, and written communication.
  • Strong interpersonal and team building skills so as to deal effectively and diplomatically with others.
  • Proficient in Zoom and Microsoft systems such as Word, Excel, Outlook, Power Point, and Teams.
  • Ability to develop, organize, and maintain complex records management systems related to student files, programs, surveys and reports.
  • Ability to work independently and employ good problems solving techniques while being a self-motivator and team participant.
  • Excellent organizational skills, congenial personality to deal with peers and a diverse UNF student population during stressful situations.
