Student Account Representative

The University of Lynchburg, a private regional university, located in the beautiful foothills of the Blue Ridge Mountains in central Virginia is seeking a full-time Student Account Representative to join our Business Office team.

The Student Account Representative reports to, is supervised by, and evaluated by the Manager of Student Accounts. The evaluation of work performance will be ongoing and will be carried out by the Manager of Student Accounts. It will include the specific duties and responsibilities of this position description plus employee attitude, general working behavior and attendance.

Job Type: Full-Time, Benefits Eligible, Hourly

Job Purpose:

  • Provides support in all areas including:
    • Customer service
    • Cashier duties
    • Assisting parents and students with questions regarding account policies, account balances, tuition remission, monthly credit card payments and daily balancing
  • Serves as back up to each Student Account Representative and Manager of Student Accounts.

Main Job Duties:

  • Provide excellent customer service and information on a variety of topics related to Student Account Services to students, parents, and faculty/staff.
  • Answer questions from parents/students regarding tuition and financial matters, through letters, email, phone conversation or direct contact.
  • Respond to voicemail and email messages on a daily basis.
  • Update the electronic notes and document after each communication with a student/parent.
  • Call parents and/or students on delinquent accounts on a regular basis for accounts assigned to this position.
  • Assist with semester billing and End of Month, which may include stuffing and mailing envelopes.
  • Oversee monthly charges (lab fees, riding fees, and nursing fees) on a student's account. Manually charge for any charge home tickets that come from other departments.
  • Participate in fall and spring check-in and graduating senior events as needed.
  • Responsible for prompt and accurate posting of incoming payments and retain organized back up for audit and record keeping.
  • Help with enrollment deposit statements and letters by stuffing envelopes and mailing.
  • Process other cash receipts in Dynamics 365 (finance).
  • Post payments for rental property in Dynamics 365 (finance) for both tenants as well as graduate students.
  • Post tuition remission benefits on student accounts.
  • Maintain and post credit card payments for monthly credit card payment plans.
  • Handle Student Teacher Honorarium letters to students from the School of Education as needed.
  • Perform any other related duties as may be required.

Starting Pay: $40,000.00

Schedule: 8:30 a.m. - 5 p.m. (7.5 hours/day with some evening/ weekends to meet the needs of the department may be required).

Experience/Skills:

  • Ability to work effectively, independently and as a member of a team.
  • Must have strong analytical and organizational skills.
  • Good math skills.
  • Proficient in the use of Microsoft Excel and Word.
  • Knowledge of basic accounts receivable accounting, collections, and financial aid processes.
  • Ability to use absolute discretion when dealing with sensitive, confidential materials; familiarity with FERPA a plus.
  • Ability to thrive in a fast-paced environment and to effectively prioritize assignments to meet given deadlines.

Physical Demands:

  • Weekly filing of student communications and documentation in a filing cabinet.
  • Ability to spend long periods of time at a computer workstation.
  • Ability to use general office equipment.

Required Qualifications:

  • Bachelor's degree in Accounting or equivalent combination of education and experience in higher education preferred.
  • Three to five years of computer and business experience related to collecting accounts.
