Department Marketing StatementUC Santa Barbara's College of Creative Studies (CCS) is home to just under 400 highly motivated undergraduates pursuing research and creative work under the close guidance of faculty across campus. The College offers eight majors, including Art, Biology, Chemistry & Biochemistry, Computing, Mathematics, Music Composition, Physics, and Writing & Literature. In each major, students create new knowledge, earning CCS the reputation as "the Graduate School for Undergraduates".

Brief Summary of Job DutiesThe Undergraduate Adviser serves as the initial source of academic advising and general information related to CCS for prospective and enrolled CCS students. Duties include but are not limited to: advising students regarding university and CCS requirements across the eight varied major. Facilitates the supplemental application/admissions processes and advises prospective students regarding application requirements. Provides regular academic programmatic support to faculty, students, and administrators, and the annual Orientation of the incoming CCS classes. Serves as an inviting and informative presence as the face and initial point of contact for the College. Provides administrative support to the Dean, Associate and Assistant Deans, and the Student Affairs Manager (Student Academic Advisor 3). Demonstrates initiative, and a high level of responsibility and professionalism.Minimum Requirements- Bachelor's degree in related area and / or equivalent experience / training.- Knowledge of University Student Affairs processes and procedures.- Knowledge of advising and counseling techniques.- Knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks, related to Student Affairs, as to likelihood and consequences.- Ability to multi-task.- Excellent verbal and written communication skills.- Ability to interact effectively with faculty, staff, students, and visitors on a variety of advising issues.- Ability to communicate policy and procedures effectively.- Ability to work with distressed students in a high volume and fast paced environment.- Ability to work with individuals from underrepresented populations and diverse socioeconomic backgrounds.- Ability to design and develop systematic approaches and advise faculty on best practices.- Ability to organize and process work with frequent interruptions.- Well developed decision-making and problem-solving skills.- Effective skills in active listening, critical thinking, negotiation, research, problem-solving, organizing, multitasking.- Ability to set priorities taking into account tight and competing deadlines.- Excellent computing skillsDesirable Qualifications1 year experience as an academic advisor in higher educationWorking experience in UCSB Systems: GOLD, eGrades, AAA, STAR.

Job Functions/Percentage of Time/DutiesAcademic Advising - 40% Daily Under the general supervision of the Student Affairs Manager, is responsible for providinginitial academic advising to approximately 400 undergraduates in eight diverse majors inthe College of Creative Studies. Will be knowledgeable about College and Universityrequirements, and able to accurately interpret and communicate these policies to studentsand faculty. Advises new, continuing, and transfer students regarding major requirements, generaleducation, and other degree requirements. Assists students with all issues related toquarterly registration processes. Answers questions from faculty advisers regardingacademic policies and procedures. Assists the Student Affairs Manager in the coordination of formal student orientation forincoming CCS students throughout the summer. Interprets New Student Profile for individual students to explain degree credit awardedupon matriculation and fulfillment of CCS and UCSB degree requirements. Advises CCSstudents wishing to take courses at other institutions. Advises students of necessity of andprocedures for filing petitions and other required forms. Directs and informs students of education and other resources available to them, includingbut not limited to Education Abroad Program, Campus Learning Assistance Services,Counseling and Career Services, Educational Opportunity Program, and Disabled StudentsProgram. In compliance with University, State, and Federal regulations, is knowledgeableof and enforces policies and procedures regarding access and availability of student records. Works within established policies and procedural guidelines relating to the FamilyEducational Rights and Privacy Act (FERPA). Exercises professional judgment, discretion,confidentiality, and sensitivity in all communications regarding College and studentsmatters. Works with Student Mental Health Coordination Services following distressedstudent protocol if necessary. Student Affairs Administration - 35% Daily Creation and maintenance of individual student files. Assessment and processing of avariety of petitions. Coordinates regular student events. Responsible for CCS course schedules and course posting activities (including SummerSession): preparation and timely submission of the quarterly Schedule Proofs for the Officeof the Registrar, call for submission of quarterly courses from faculty, coordinating CCSclassroom spaces to fit instructor needs, utilizing the STAR database to submit courseinformation and updates. Schedules room requests for classes and student activitiesthroughout academic year, and maintains CCS rooms/space calendars. Responsible for coordination and management of mandatory Faculty/Student advisingprocess. Analyzes and filters communication received in the College. Helps update and maintainCCS student email listservs. Works with CCS staff to produce statistical reports, createcomprehensive databases for student academic information and generate reports for same.Prepares and distributes quarterly CCS enrollment statistics. Oversees timely receipt and distribution of CCS student affairs correspondence, reports, andresponses to inquiries from students, faculty, prospective students and parents, and otherUCSB administrators and staff. Ensures pertinent information is conveyed and routed to the appropriate staff in a timely manner. Admissions Counselor - 15% Weekly Serves as primary representative for prospective students inquiring about CCS. Coordinatesvisits for and meets with prospective students and families, informing them about theCollege and curricula, and facilitating communication and/or meetings with faculty asappropriate.Assists applicants and faculty with questions about the online supplemental application,CCS admissions and CCS application requirements. Assists faculty with questions about admissions timelines, deadlines, access, and procedure. General Operational Support - 10% Daily Serves as first point of contact for majority of College walk-in visitors, and as primaryassistant to and back-up for the Student Affairs Manager regarding the management ofacademic and administrative matters related to CCS Student Affairs. Utilizing customerservice and professional skills, provides assistance to the Dean, Associate and AssistantDeans, and the Student Affairs Manager. Assists with college activities and programming, and helps maintain student areas. Providesgeneral classroom support. Assists in updating and maintaining areas of the CCS websiteand social media accounts. Works with Communications/Development Associate tohighlight student events, activities, and accomplishments. Assists with planning and attends certain weekend events, including Spring Insight,Regional Receptions, and Commencement, to help represent the college.
