Job Description:


Title: Staff Assistant to the Office of Human Resources, Payroll and Professional Development


Unit: Non-Unit Professional (NUP)

General Summary: The Staff Assistant to the Office of Human Resources, Payroll and Professional Development provides highly confidential administrative office support to the Human Resources, Payroll, and Professional Development offices within the HR division of Middlesex Community College. The Staff Assistant maintains filing systems, assists in HR/Payroll data entry, and coordinates the needs of the Professional Development Office. This employee will have the opportunity to collaborate with HR team members on various employee initiatives. This position requires an ability to maintain strict confidentiality of sensitive information as the individual would have access to employee data and private personal information.


Duties and Responsibilities:


Professional Development Office:


  • Support the Director of Professional Development by providing pre-event planning and services, coordination of all logistics, on-site coordination, and administrative support for Professional Days, New Faculty seminars, and various events sponsored by the Office of Professional Development.
  • Coordinate professional development conference bookings and attendance, including communicating with faculty and staff, booking hotel, flight and conference reservations, following up with conference vendors, and work with the College's Finance Department to ensure payments are made timely.
  • Assist Director in coordination of Professional Development Office's budget, purchase order processing and adjust accounts as needed
  • Process payments to faculty and staff in College's Interview Exchange system
  • Communicate regularly with faculty and staff to plan activities

Human Resources and Payroll Office:


  • Assist in ongoing maintenance of HR/Payroll personnel files for full-time and part-time employees
  • Complete general office functions such as filing, scanning and copying on an ongoing basis to maintain accurate and up to date payroll and HR records according to established systems.
  • Develop and maintain knowledge of various HR/Payroll systems, including HR/CMS, Banner, Interview Exchange, Soft Docs, etc.
  • Using the BANNER, HRCMS and Interview Exchange systems, assist in the entry and upkeep of employee data
  • Provide employee self-service assistance in HR/CMS including assisting with password resets, W-2 printing and other employee requests
  • Receive and enter all college work-study and transportation timesheets. Reconcile this information on a biweekly basis with other timesheet related entries.
  • Troubleshoot with managers and employees on use of Interview Exchange Forms and Onboarding modules
  • Assist new hires in the completion of onboarding documents including verification of I-9 documentation prior to hire
  • Assist in responding to employee questions and concerns in a timely manner and/or refer employees to appropriate HR staff member, where appropriate through email, telephone, and in-person correspondence.
  • Complete employment verification requests
  • Sort, send, receive and distribute mail for the Human Resources and Payroll departments.
  • Maintain positive working relationships with various College departments to obtain information and answer questions; position requires collaboration with other departments and employees
  • Coordinate Office of HR/Payroll's budget, purchase order processing and adjust accounts as needed
  • Assists HR/Payroll team with coordination of various initiatives which may include service award recognition program, employee engagement activities, professional day, employment programs, and other special projects as they arise.
  • Collaborate with HR and Payroll team members to work towards continuous improvement of HR/Payroll policies and procedures


Requirements:


Minimum Qualifications:


  • Bachelor's Degree in a related field and a minimum of 3 years of experience in an office or customer service setting
  • Ability to maintain strict confidentiality of sensitive information
  • Ability to communicate effectively both verbally and in writing
  • Ability to resolve problems and to develop relevant alternatives and recommendations
  • Promote and maintain collaborative relationships with administrators, faculty and staff
  • Ability to work autonomously, using discretion when needed to accomplish goals
  • Experience with equity-minded work and/or understanding of individuals of diverse identities such as race, ethnicity, socioeconomic level, sexual orientation and veterans including those with different levels of academic preparation, varying physical and learning abilities.


Additional Information:

Location: Bedford campus with occasional travel to Lowell as needed


Hours: 37.5 per week, schedule to be determined upon hire, This position will be eligible for a maximum of two days of telework in accordance with the College's telework policy.
