Service Coordinator

Nature of Work
Support the day to day operation of the service department and/or special projects group.

Essential Duties and Responsibilities

  • Dispatch or support the dispatch of service technicians and other related trades people.
  • Create and update files of various kinds; for example, documents, spreadsheets, and databases.
  • Perform other administrative activities such as answering phones, filing, typing, greeting and assisting visitors, and working with internal and external clients.
  • Create, update, and modify purchase orders.
  • Process and/or approve vendor or subcontractor invoices.
  • Create customer invoices and assist in the collection of accounts receivable.
  • Compose and/or edit letters, memos, reports, procedures, etc., as required.
  • May help develop, interpret, and administer a company policy, program or procedure requiring independent decision making.
  • Create client proposals based on information and pricing provided by others.
  • Manage the coding of and entry into accounting system of service technician payroll.
  • Assist in the coordination of jobsite activities such as deliveries, rigging, equipment, tools, etc…
  • Assist in the management of scheduled maintenance contracts.
  • Coordinate and supervise administrative support activities with additional personnel.
  • Exercise initiative or, as directed, perform additional duties to meet the needs of the organization.

Education                
High school diploma or General Education Degree (GED).

Experience
Six months to one year or more of related work experience required.

Scope
Responsible for the work of others in addition to own work; may supervise some supervisory and/or management-level personnel; exercises control over expenses and generation of revenues; hold partial responsibility for formation of division/department budget; accountable for the results.

Guidelines
Utilizes judgment in selecting, interpreting and adapting guidelines. Applies learning to achieve answers in differing situations. Make knowledgeable recommendations that may reflect original thought.

Physical Demands

Physical demands for this position are light. Typically the employee may sit comfortably to do the work. However, there may be walking, standing, bending or carrying of light items (10-25 pounds) such as papers, books, small parts, etc. No special physical demands are required to perform the work.

Work Environment
The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, residences, commercial vehicles, or outdoors, e.g., use of safe work practices with office equipment, avoidance of trips and falls and observance of fire regulations and traffic signals, etc.
