About this opportunity:
Reporting to the Vice President, Marketing, the Senior Administrative Assistant will interact as a liaison between executive staff members and the business. The successful candidate will coordinate information, programs, meetings and managing schedule(s). The Sr. Administrative Assistance will coordinate substantial domestic and international travel for the executive ensuring all details are effectively orchestrated and efficiently communicated while handling expenditures.

Other tasks include conversing executive's time by screening and responding to telephone calls and e-mails on behalf of the executive, maintaining sensitive and confidential issues and inquiries for executive, including personnel, wage, budget, and strategic information. You will help plan meetings, executive functions, site visits, and special events, including securing locations, coordinating food and beverage menus, selecting entertainment, gifts and transportation logistics.

This position is located at our Dublin, OH office.

Responsibilities:
  • Provide confidential assistance to the VP, including file management, mail handling, and calendar management.
  • Coordinate meetings, executive functions, and special events, including logistics and arrangements.
  • Lead general office administration tasks, such as coordinating meetings and handling expenditures.
  • Manages logistics and develops content for weekly, monthly, and annual meetings as an active member of the Leadership Team
  • Coordinate travel arrangements, appointments, staff training, and time management
  • Act as the executive's representative internally and externally, creating communications on their behalf
  • Work closely with the Finance Department to prepare and consolidate the departmental budgets, prepare variance reports, review, and analyze monthly P&L statements, reconcile variances and report findings for executive review
Required Qualifications:
  • Must be legally eligible to work in the United States
  • Minimum 5 years of office experience with high level executives
  • Excellent proof reading and business writing skills
  • Proficiency in Microsoft Word, MS Teams, Outlook, Excel and Macros, Visio, Power Point, and SAP (including Manager's Desktop)
