Job Description:


Reporting to Facilities Business Services Office Manager, the Seasonal Facilities Project Assistant supports Facilities Management activities. This position is responsible for distributing incoming work requests, reception coverage, dispatching calls to service staff, reviewing/creating work requests and administrative task related to capital projects including processing financial transactions, data entry, space delineation, project turnkey support, mailroom support, and other duties as assigned.


Major Responsibilities:


  • Provide reception and dispatch coverage for the Facilities Management main office, including receiving and distributing telephone calls and work order requests, 2-way radio transmissions, mail, email and walk-in customers; train, schedule and support student staff; and demonstrating a commitment to work scheduled shifts and special events as needed
  • Support departmental programs and projects by assisting in setting up, maintaining, and organizing department's central files, information, filing, and messages.
  • Conduct facility inspections as directed
  • Support capital projects including space delineation, data entry, project turnkey support and archiving physical & electronic documents
  • Support Mail Services so operations are resilient and sustainable by providing support
  • Ensure that overall operations are resilient and sustainable by providing administrative support to the Facilities Management team and other duties as assigned


Requirements:


  • A high school diploma or equivalency is required. An associate's degree in business or communications is preferred.
  • 2 years' experience in facilities management/services and demonstrated customer service excellence in an office or call/dispatch center is preferred
  • Experience using computerized maintenance management systems (CMMS) is desired
  • The successful candidate must have demonstrated ability to work and communicate professionally, verbally, and in written form with internal and external customers.
  • Demonstrated ability to use Microsoft Suite of products including Excel, Outlook, Word and PowerPoint.
  • Knowledge of building and facility management and maintenance operations and maintenance management software preferred.
  • The ideal candidate will have demonstrated ability in the following areas: Excellent interpersonal skills, the ability to prioritize work and handle interruptions effectively, the ability to communicate effectively with internal & external customers, responsibility for follow-up on actions based on various team projects, effectively manage change, ability to learn new software systems, work independently without regular direct supervision, provider of excellent customer service and maintain a team oriented attitude and mentality.
  • Physical Requirements include the ability to walk, stand or sit for long periods of time, climb stairs and the ability to occasionally lift 25lbs.
  • This is a part time position with a work schedule that will vary per the academic season. The ability to work a flexible schedule is required.
  • Must be able to maintain a positive, professional relationship with all members of the Clark Community
