Job Description

POSITION PURPOSE:

The HR & Recruiting Coordinator is responsible for supporting various facets of the recruiting and retention process, as well as providing administrative support. This is achieved by working with management to identify desired position skills and experience, and by utilizing various recruiting and sourcing techniques to attract and identify suitable candidates. The Recruiting Coordinator also provides administrative support with job postings, job description updates, ATS administration, job offers, on-boarding completion, scorecards/metrics and retention metrics.

DUTIES AND RESPONSIBILITIES:

  • Work closely with the Recruiting Specialists, Regional HR Managers, and field management to understand business strategies and challenges; assists with focusing recruiting and sourcing efforts accordingly. Work closely with internal teams to generate new sourcing tactics, leverage resources, and innovative recruiting processes.
  • Provide support to retention efforts by managing and analyzing retention data collection points such as exit interviews, employee feedback, employee engagement surveys, turnover rates, and other sources.
  • Monitor and report on the effectiveness of retention tactics such as stay/sign-on bonuses, competitive pay reviews, onboarding/training methods, and other activities that support retention goals. Create and update retention reports and dashboards as required; transform data into actionable recommendations.
  • Conduct open houses, attend job fairs, and perform community based recruiting.
  • Review requisitions at least daily for new applicant flow. Identify viable candidates and conduct phone screens. Disposition candidates in ATS. Ensure external candidates are directed to apply through the ATS.
  • Determine recruiting strategies, identify suitable recruiting methods, and post positions accordingly (Reddy Ice website, job boards, social media, and other appropriate venues).
  • Participate on weekly Regional HR Manager recruiting update calls and share best practices and highlight any locations that may need additional support.
  • Assists with identifying issues affecting recruitment and implementing recruitment activities to continuously improve process.
  • Provide daily updates to Recruiting Team to prepare and monitor recruiting reporting metrics as required to include scorecard management, time to fill, sourcing and other metrics as needed.
  • Manage the interview process by scheduling, communicating and timely follow-up with candidates and hiring managers. Assist with onboarding as required.
  • Create, review, approve, post, and update all job requisitions.
  • Place advertisements by posting on approved job boards and utilizing social media. Research and recommend innovative methods to source drivers and other non-exempt field positions.
  • Provide administrative support with various items such as budgets, expense reports, invoice management, meeting management, etc. as directed by department leadership
  • Serves as point of contact for provision of consultative service to hiring authorities.
  • Serves as resource for recruitment policies, procedures, and practices to supervisors, HR staff, and others. Refers to recruiters and other staff as appropriate.
  • Assist/coach hiring managers with interviewing techniques.
  • Gather and compile timely candidate and hiring manager feedback; prepare offer letters.
  • Remove job posting from career site and advertising after an offer of employment has been made; close requisition in the ATS.
  • Assume other duties and responsibilities required or assigned by management.

OPERATING RESPONSIBILITIES:

This position directly impacts the financial operations of the company through proper staffing. Access to confidential reports and information.

SUPERVISORY RESPONSIBILITY:

This is an individual contributor role with no direct reports.

EDUCATION AND EXPERIENCE:

  • Bachelor's degree in Human Resources or other related field (preferred)
  • Minimum two (2) years of administrative support experience in recruitment or related area
  • Minimum one (1) year of candidate sourcing or related experience
  • Basic expertise with the MS Office Suite; intermediate expertise in Excel and Word
  • Recruiting and interviewing skills
  • Phone, Skype, and online meeting platform skills
  • Supports workplace diversity
  • Familiarity with relevant employment law
  • Professionalism, organization, and project management skills
  • Knowledge of the recruiting process

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

This position generally works in an office environment and uses typical office equipment including phones, computers, and printers. Work is conducted in a fast-paced, rapidly changing environment. The ability to manage stress, build professional and collaborative relationships, and reason through complex business situations is essential. This position requires occasional travel; a valid drivers license and acceptable MVR is required.
