F&G is hiring a Receptionist for our New York office. The role will provide reception and office support to F&Gs New York Office. This role will be responsible for the coordination of daily operations in the office including visitor management, work orders, deliveries, upkeep and organization of the office. This role will also provide administrative support to employees working at this office. This role will report to the Chief Investment Officer with a dotted line to the Director, Workplace Services

Duties and Responsibilities

  • Greet & provide customer service to employees, contractors and visitors in the office.
  • Maintain visitor log and manage visitor coordination.
  • Issue temporary security badges as needed
  • Provide administrative support to local office staff
  • Coordinate on-site meetings, including meetings for external guests or companies
  • Provide administrative support for building work order submissions into tenant portals and submissions of payments for invoices.
  • Coordinate work orders for building maintenance, lighting, HVAC, and/or security as needed.
  • Monitor, order and stock office and break areas, including hospitality refrigerators.
  • Receive incoming mail & accept F&G deliveries.
  • Send outgoing mail via FedEx and/or USPS
  • Assist the Workplace Services team by maintaining appearance and organization of the office space, including meeting and break room areas.
  • Organize catering and food delivery for team social activities; make restaurant reservations if needed
  • Coordinate troubleshooting for equipment and WiFi issues with the IT team
  • Maintain awareness and help enforce emergency, security and safety policies.
  • Assist other administrative staff with overflow work when necessary
Experience and Education Requirements
  • High School Diploma required
  • Minimum of 2 years experience as a receptionist, administrative assistant, or equivalent position
Knowledge, Skills & Abilities
  • Ability to work as part of a team and interact effectively with others
  • Has a pleasant and professional demeanor and appearance.
  • Self motivator with strong intra-personal skills
  • Must be highly organized and comfortable working in a fast-paced work environment
  • Must have excellent written and verbal communication skills
  • Strong attention to detail
  • Must have budget management knowledge and knowledge of accounts payable, billing procedures and expense reporting preparation and processing
  • Must be proficient in PowerPoint and Word; familiar with Excel
  • Requires an ability to understand objectives of work assigned in order to revise/adjust workload to address and prioritize immediate needs.
  • Requires the ability to handle confidential information.
  • Requires an ability to be proactive and to continually think ahead
  • Ability to develop creative solutions to everyday tasks and adapt effectively to unexpected circumstances
Other Requirements
  • Perform other functions, duties and projects as assigned
  • Regular and punctual attendance
  • Some travel may be required (less than 10%)
The targeted hourly rate range for this role is $21.50 - $36.25. Actual hourly rate may be above or below this range based on factors such as location, skills, relevant experience, operational needs, internal parity and other considerations permitted by law.

Certain roles are eligible for additional compensation such as annual bonus. These awards are allocated based on individual and company performance.
