A Biotechnology company is seeking a Project Management Assistant in Foster City, CA.

Role Description

• Ability and specialized skills to coordinate many different administrative duties; interpret and apply a variety of complex policies and procedures; set deadlines, priorities, and complete projects
• Perform a wide variety of activities including handling complex projects/events requiring the gathering, reviewing, and analysis of data impacting a major portion of the organization
• Support with project and administrative tasks related to develop and sustain tools, templates, KPIs, dashboards, portfolio reporting, and communications
• Support projects, project sub-workstreams, and/or departmental processes with increased complexity. Ensure all projects attain to accurate timelines and helps define clear goals, objectives, and milestones consistent with the priorities of the business.
• Perform additional projects as assigned
• Serve as a primary resource for data and information to the department
• Interfaces with a very broad range of internal management and staff while meeting a wide range of administrative needs
• Attend meetings and accurately takes minutes, capturing the essence of the discussion, and notes to actions items for follow-up
• Under general supervision of the Operational Excellence Manager, the Administrative Coordinator supports the basic functions and administrative work of the OE Dept., including but not limited to, planning, coordinating and scheduling OE activities. Creating auditing schedules and tracking project completion.
• Responsible for administrative support of the OE Department and Dept. Chair as needed and directed.
• May design, revise, and deliver training material
• Supporting, designing and creating, delivering training material SharePoint Sites
• Under manager's direction, creates draft reports, documents, presentations, and templates using raw data
• Understand the goals and objectives of the entire department and contributes to the attainment of those goals. Keeps the bigger picture in mind and influences workflows accordingly
• Coordinate large events which include the planning, organizing, and implementation of several event activities
• Assist in the orientation and onboarding of new administrative assistants and other staff
• Ongoing, acts as a resource to other administrative assistants and is cross-trained to cover for another administrative assistant if he/she is out of the office for an extended period

Skills & Requirements

• Lean Six Sigma background or High initiative/history of proactively identifying and proposing ways to streamline processes to increase efficiency
• Proficient in MS Office Suite ,SharePoint,
• Project Management
• Qualifications: Organized, efficient, strong attention to detail o Ambitious and driven; motivated by a dynamic environment o Self-starter with a proven ability to handle multiple programs/ projects Knowledge, Skills and Abilities:
• Demonstrated effective verbal, written, and interpersonal skills
• Strong attention to detail and highly organized
• High level of integrity and confidentiality with sensitive information
• Proven knowledge and understanding of administrative and office policies and procedures
• Must possess good proofreading and editing skills of technical documents
• Demonstrated high level of proficiency with MS Office Suite, Outlook, Word, PowerPoint and Excel
• Works under minimal supervision; proactive and anticipates future department needs and prepares accordingly
• Demonstrates sound judgment
• High initiative/history of proactively identifying and proposing ways to streamline processes to increase efficiency Required Qualifications:
• 2+ years of relevant experience with BA/BS in a scientific field is preferred. Relevant experience consists of project management in the biotech/pharmaceutical industry with a focus on Project Management Office.
• Awareness of Project Management Office process and understanding of and appropriate application of principles, concepts, practices, and standards of pharmaceutical project management.
• Excellent organizational planning skills, time management, and record retention. Capable of setting priorities and managing high workload.
