GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Center for Rare Neurological Diseases at Massachusetts General Hospital focuses on single gene disorders where a single gene defect is sufficient to cause disability and suffering. The Center for Rare Neurological Diseases seeks to implement strategies, create partnerships that advance treatments for rare diseases and thereby serve the many unmet needs in the community. The Program Director works collaboratively with other study staff, physician mentors, industry partners, nonprofit advocacy groups, and especially our patients with rare diseases.

Working closely and collaboratively with the Director and Leadership Team of the CRND, the Program Director will be responsible for the creation and development of comprehensive communication plans that ensure that all stakeholders are informed of, connected to, and engaged with the work of the CRND. The incumbent will oversee the implementation and management of the core operational functions of the CRND related to growth, outreach, communication, and collaboration.

Guided by the center's mission and vision, the Program Director will improve upon initiatives already in place, conceive of and drive new opportunities to strengthen internal communications and bring awareness and information to external audiences, all in service of patients and families managing rare disease.

This individual is an experienced strategic thinker, an outstanding project manager, and an accomplished professional who is able to prioritize effectively.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Key Responsibilities

  • Collaborates with CRND's director, clinical research coordinators, and the MGH office of development to support and execute all internal and external communication efforts.
  • Serves as a liaison to patient advocacy organizations and partners.
  • Tracks and reports on researchers' progress.
  • Develops a schedule and process for timely internal and external communication.
  • Translates complex medical and/or scientific materials for lay audiences.
  • Attends lectures, conferences, and meetings related to rare neurological diseases to become an effective and knowledgeable leader on topics relevant to the growth and further development of the CRND research community.
  • Manages confidentiality and consulting agreements across the center to facilitate external collaborations and communications
  • Plans events such as Rare Disease Day, awareness tabling, and community outreach
Strategic & Operational Planning and Implementation
  • Responsible for leading and setting the operational directions for all CRND activities
  • Together with Program Manager, manages space allocation and assesses needs for growth and expansion
  • Develop and implement tools, systems, and resources to support program development and growth; revise as necessary to improve workflow and output and maximize efficiency. Translate the concepts and strategies of the CRND into specific objectives and activities to effectively support the CRND's mission
  • Serve as a resource for and assist with grant and philanthropic proposal development and multi-center research initiatives to support investigator research endeavors and maintain center support
  • Collaborate with investigators to explore, develop, define, and implement key strategic goals/initiatives for the CRND
  • Initiate process improvement projects to improve overall operations
Personnel Management
  • Responsible for managing and building a cohesive and effective team. Supervise key 5-10 operational support staff
  • Provides general and/or direct management to both full time and contractual CRND staff members including senior level research coordinators and technicians, administrative staff, and entry level research coordinators and technicians.
  • Supports professional growth and provides coaching when needed. Provides guidance and oversight to management on operational, regulatory and HR policies including but not limited to:
    • Hiring, supervision and corrective action
    • Wage and salary
    • Workload analysis and appropriate staffing models
    • Performance evaluations and timely completion.
Communications
  • Identifies opportunities to bridge the scientific and lay communities through the mission and values of the center.
  • Develops a communication strategy that aligns with and reflects the mission and vision of the CRND.
  • Executes communications plans and analyzes results to measure progress towards goals that inform future planning.
  • Manages and streamlines all center internal and external communications specifically with funding agencies, advocacy groups and future recruits to the center.
  • Partners collaboratively with Communications Director in the Department of Neurology on all communications strategy to ensure proper alignment
  • Adapts to changing priorities and competing stakeholder demands, including by adjusting communication plans and editing and revising content as needed.
  • Oversees and directs the actions of freelancers both in the designing (graphic design) of branded collaterals and publication as well as writers/editors for publications. Projects include but are not limited to newsletters, event promotion materials, brochures, flyers etc.
  • Reviews speeches, slides, and written communication for medical leaders.
  • Develops quarterly communications for researchers and clinicians with content on rare neurological diseases and programs affiliated with CRND.
  • In collaboration with CRND colleagues, works with internal and external stakeholders to write and assemble CRND's Annual Report.
  • Coordinates with internal colleagues and contracted third-party vendors on the creation and ongoing content updating of a website.
  • Manages the process for maintenance and updates of content for external websites representing CRND's activities and programs.
  • Manages CRND's video projects including project management of outside video production vendors.
  • Works closely with the MGH International Office to facilitate international patient care and international access to CRND services
Additional Responsibilities
  • Provide oversight and advise investigators, Clinical Research staff and transdisciplinary teams about all aspects of study start up, conduct and close out for a portfolio of multi-center and single center clinical trials.
  • Participate in planning and implementing training opportunities/programs cross functionally, both internally and with collaborating groups outside of MGB.
  • Lead internal creative and design groups to manage development, production and distribution of marketing materials to support planned marketing programs
  • Write and edit a wide range of communications, including news releases, announcements, web stories, social media posts, annual report letters, scripts, speeches, talking points and issues cards.
  • Conceptualize and oversee graphics production (internal or external) to be used in online and offline advertising and marketing communications
  • Works with clinicians and researchers to improve their presentations and public relations.
  • Manages CRND's events, particularly logistics and marketing.
  • Develops and implements project schedules, organizes meetings, sets agendas, and monitors next steps to ensure projects stay on track and meet set deadlines.
  • Spearheads the CRND's efforts to be a leading voice and advocate for patients with rare neurological diseases.
  • Proactively looks for ways that the CRND can better serve its constituents.
  • Maintains transparency and effective communication about daily activities and ongoing projects.


Qualifications
QUALIFICATIONS:

  • Bachelor's degree required. Master's degree in health care administration or related field preferred
  • At least 8-10+ years of prior experience in communications, health care administration or related field. At least 5 years of supervisory/management experience.
  • Experience communicating with donors, vendors, organizational partners and various external stakeholders preferred

  • Ability to lead collaborative study teams and provide guidance and supervision to all members of the study team as needed.
  • Ability to perform effectively in a fast-paced environment, work well under pressure and manage details of concurrent projects
  • Ability to develop positive internal and external working relationships
  • Ability to motivate staff-both direct reports and peers across the organization-and facilitate cross-functional efforts
  • Takes initiative and functions effectively, both independently and as a member of a team, with a willingness to take on and assist with routine and last minute projects.
  • Experience with Microsoft Word, PowerPoint, Adobe Acrobat, photo and video editing software (Photoshop, iMovie, Final Cut Pro)
  • Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided.
  • Utilizes the hospital's values as the basis for decision-making and to facilitate the department and the hospital's mission.
  • Follows established hospital infection control and safety procedures.
  • Additional duties, projects, and responsibilities to be determined as needs arise.
  • Strong organizational and time management skills.

WORKING CONDITIONS:

  • Full Time
  • Comfort with a hybrid work environment, including work from home and in-office.
  • Availability for travel between Boston and area hospitals and community health centers for periodic meetings, presentations, and events
  • Ability to work occasional evenings and weekends.

SUPERVISORY RESPONSIBILITY:

Direct supervision of 5-8 coordinators, technicians, and administrative staff.
