Organize various events, including the PICS symposium (one large conference per year), PICS workshops (typically 5 per year), and PICS seminars (12 per year).
Assist in the preparation of reports of PICS activities, including the annual report; record seminars and maintain a library of recordings with permission from speakers; maintain academic and public websites. Prepare the PICS e-newsletter (typically one per semester). Update the screens in the PICS space and PICS website regularly with PICS news and highlights. Maintain the PICS Google Drive, Slack channels, and listservs.
Coordinate and support the submission of collaborative grants between multiple members affiliated with PICS.
Act as the office manager of the PICS facility; support the activities of the large group of faculty and students (~60 people) in the SEAS PICS offices. This includes scheduling and managing shared spaces; scheduling and managing small group events; supporting expense reporting; coordinating with other SEAS support and business staff for purchasing, supplies, and maintenance; performing reception duties in an access-controlled space; and supporting weekly center meetings and events.
Serve as SCMP Academic Coordinator, reporting to the Director of SCMP at Penn Engineering. Support the students enrolled in SCMP. Tasks will involve: (1) managing advance registration, organizing orientation, and onboarding new students; (2) enrolling students in SCMP courses and advising students on course selection; (3) managing course exceptions, course waivers, and CPT/OPT, ensuring all requirements for graduation have been met; (4) handling all program communication with SCMP students, answering questions from current and interested students; (5) maintaining the academic and public websites. 6) Coordinate with other advising offices and attend advising meetings with the Office of Academic Services and the CBE department.
Qualifications
Bachelor's degree and a minimum of two years of related administrative experience or an equivalent combination of education and experience. Demonstrated excellent verbal and written communication, interpersonal, and organizational skills. Degree in a science-related field is helpful.
