About the Department:

The Dedman College Interdisciplinary Institute (DCII) provides a platform for collaboration and the exchange of ideas across academic disciplines, helping to forge connections between the physical sciences, social sciences, and humanities; between Dedman College and SMU's professional schools; and between academia and the broader community. Serving as a dynamic center for intellectual life within Dedman College and at SMU, the DCII brings together faculty, students, and members of the DFW community by sponsoring research initiatives, student fellowships, and lecture series. Through these programs, the DCII promotes a culture of interdisciplinary problem-solving and knowledge creation to meet the world's increasingly complex needs and challenges.

About the Position:

The Program Coordinator will assist the Director of the Dedman College Interdisciplinary Institute in the development, planning, and administration of all DCII programs and events, including faculty-led research clusters and symposia, lecture series, graduate fellowships, undergraduate research programs, and other future initiatives. This position will also oversee the day-to-day operational management of the Institute. The Program Coordinator is tasked with financial, event logistics, and marketing management for all DCII programs. This position will also assist with the development of new programs and special projects, resource development and donor relations, coordination of DCII board functions, development and maintenance of relationships with community partners, budget management, and digital and website management.

Essential Functions:

  • Manages all DCII marketing channels and work with the DCII Director to issue communications. This includes providing writing, design support, and oversight for weekly event emails, publicity materials for major events, press releases, DCII website content, monthly e-newsletters, social media posts, and any paid media and paid social advertising. It also includes managing relationships with SMU marketing and public affairs offices and with external vendors, building and managing email recipient lists for community programs and events, and placing events on SMU calendars.
  • Assists in completing the annual budget process and conducts monthly budget review and reconciliation for all DCII accounts and associated programs. Approves expenses and tracks expenditures for all programs and events. Completes payment requests for program expenditures and serves as primary contact for payroll duties.
  • Assists in planning events and organizes all program and event logistics: Serves as primary contact for recipients of DCII program funding. Coordinates with and arranges travel, accommodation, and honoraria for speakers and student fellows. Reserves event spaces and AV equipment, works with vendors, and attends and runs major events.
  • Works with the DCII Director to creatively develop new programming and events. This includes consideration of how new programs and special projects can advance the DCII's mission and goals, identification of potential funding resources, budget development and expense forecasting, and event planning and implementation.
  • Coordinates DCII advisory board functions. Assists in stewarding existing DCII donor relationships and developing strategies to engage with potential donors, and writes annual endowment reports. Assists in building and sustaining relationships with community organizations to encourage community involvement and potential partnerships in DCII activities.
  • Manages all day-to-day operational aspects of the DCII. This includes providing direct oversight of any student assistants, serving as the public face of the DCII in its offices, responding to phone and email inquiries, and generally managing the office.
  • Occasional evening/weekend hours will be required.


Qualifications

Education and Experience:

A Bachelor's degree is required.

Three years professional work experience in administrative support is required. Experience in programmatic marketing, event planning, professional writing, and financial management is also required.

Experience working in higher education is preferred. Visual design experience is also preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also be detail-oriented and have strong organizational, planning, and time management skills.

Candidate must demonstrate a strong working knowledge of Microsoft Office (Word, Outlook, Excel, PowerPoint). Knowledge of website and social media management systems is preferred. The ability to use WordPress and LibWizard is also preferred.

Candidate must be able to work independently with minimal oversight.
