GENERAL SUMMARY/ OVERVIEW STATEMENT:

Will be responsible for coordinating referrals and desensitizations at four different locations across MGB, recruiting, evaluating and supervising patients for studies; scheduling patients for study visits; maintaining and updating data generated by the study; collecting, organizing and analyzing patient data in complex data base programs such as RedCap and compiling and writing outcomes data for publication. Working independently and under the direction of the Principal Investigators and Director of the Desensitization Program, following established policies and procedures and creating new ones, providing leadership in clinical research studies. Leads and manages quality improvement projects for the desensitization program as well as communication about program growth with upper administration. Assists with other special projects as directed.

The Program Coordinator will be responsible for facilitating communication and ensuring the smooth integration of research among the key players. The Program Coordinator is responsible for overall project management and operational leadership. This role will have a dynamic repertoire of responsibilities.

Responsibilities will include managing all aspects of Dr. Castells' Drug Desensitization Program duties and responsibilities such as meetings, conferences and manuscripts. This will require working closely with a diverse range of team members from across various institutions. The program coordinator will also be called upon to report on project status including the preparation of materials for meetings.

PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.

  • Coordinates referrals for desensitization from oncology, cardiology, infectious disease and other specialties utilizing knowledge of HMO's, managed care and other third-party insurers, and troubleshooting insurance issues as appropriate. Follows HIPAA guidelines for management of patient privacy and confidentiality.
  • Coordinates desensitizations at 4 different hospital locations.
  • Secures bed availability for DFCI and Hale desensitizations and coordinates with admissions and nurse manager for the referring specialty.
  • Provides standard computer-generated protocols for the desensitizations after review by allergist. Performs library or literature searches as needed.
  • Data collection, management, and statistical analysis for desensitizations and outcomes with manuscript preparation.
  • Develops and manages new and existing desensitization clinical studies and trials.
  • Coordinates the Desensitization Director's calendar and schedule.

  • 8. Manages and implements quality improvement projects for the Drug Hypersensitivity and Desensitization Center.

    9. Leads planning and communication with BWH, Hale and DFCI to maintain appropriate resources for Drug Hypersensitivity and Desensitization Center.

    10. Performs other administrative duties for the Desensitization Director and assists with special projects as directed.

    11. Plans and leads weekly desensitization meetings.

    12. Coordinates outside requests for desensitization between BWH allergy and DFCI.

    13. Facilitate rotation and orientation for national and international trainees.

    Qualifications
    QUALIFICATIONS: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)

    Candidates must have a minimum of a Bachelor's degree and relevant professional experience (1-2 years) coordinating or managing projects is preferred but not required. Excellent knowledge of IRB regulations regarding human subjects and clinical research is preferred but not required.

    SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)

    1. Excellent interpersonal skills are required for working with the study participants as well as doctors, nurses, patients, and families.

    2. Good verbal and written communication skills. Excellent telephone manner is essential to interpret information as appropriate, answer complex questions in the most professional manner, and communicate in a courteous, clear and concise manner.

    3. Knowledge of clinical research protocols. Understanding and use of medical terminology helpful.

    4. Self-motivation and the ability to identify potential problems and trouble-shoot problems as necessary.

    5. High degree of computer literacy, excellent organizational and administrative skills.

    6. Good judgment, time management, and use of logic are essential.
