A client of ours is seeking a temporary Program Coordinator to join their team!

  • Temporary position through September, with the potential of being extended
  • Monday-Friday from 8:30AM - 5:00PM
  • Hybrid role, including working on-site in Oakland, CA.
  • This role is for a non-profit organization
  • MUST be available to start position next week
Responsibilities:
  • Manage the daily calendars of the Vice President and support complex scheduling for the director and team.
  • Plan and coordinate meetings and events, including scheduling, sending reminders, preparing agendas, circulating documents, note-taking and tracking action items, ordering food and supplies, and securing venues and vendors.
  • Manage operations and administrative tasks for the team, including project management (Asana, Airtable) and scheduling (Outlook/Doodle/Calendly).
  • Facilitating contracts and invoices, coordinating team and external expenses (Certify), etc.
  • Support the team with setting up webinars and video calls, including scheduling prep calls.
  • Support the team with presentations and research products, including sourcing photos and formatting slide decks.
  • Manage the inbox of the VP of Research, responding to general inquiries and elevating communications materials that require special attention.
Qualifications:
  • 1-3 years in a similar role.
  • Advanced time management and project tracking skills to support the team to meet all deliverables and deadlines across multiple projects.
  • Excellent written and verbal communication.
  • Excellent organizational skills, attention to detail, and ability to effectively prioritize and manage multiple and sometimes competing tasks.
  • Ability to judge the relative importance of issues and act independently to address them, applying the appropriate level of urgency and drive to achieve results.
  • Advanced computer skills, including Microsoft Office, PowerPoint, Google G Suite, and Zoom.
  • Ability to work effectively and efficiently (both virtually and in-person) with minimal supervision.
  • Event and logistics management.
  • Outstanding interpersonal skills, including the ability to work effectively and efficiently with diverse staff and partner organizations.
