To maintain the systems database responsible for payroll tax withholding, filing and paying all employee and employer federal, state and local taxes via Tempworks/Enterprise and ADP systems for clients of the Payroll Finance division.

Ensure compliance with regulatory requirements and with the bank's policies and procedures

Responsibilities:

  • Regular contact with Agency owners and taxing authorities to provide explanation, assistance, and research on all tax related matters.
  • Recognizes and acts upon opportunities to build relationships by anticipating client needs, providing services to meet those needs, helping clients connect with other business partners, offering information and sharing resources.
  • Maintains confidentiality of all client information.
  • Builds strong relationships with a diverse client base.
  • Works collaboratively with peers and across business lines in supporting the team and the bank's initiative in developing and improving processes, procedures and business solutions that add value and enhance the overall client experience.
  • Maintain system databases to minimize tax penalties/interest and ADP fees.
  • Adheres to operational controls, including legal, department and regulatory procedures to ensure the safety and security of client and bank assets
  • Maintain consistent and vital daily database exchanges between TempWorks and ADP to ensure timely and accurate filing and payment of all payroll taxes
  • Challenges established ways of doing things by sharing resourceful ideas and solutions.
  • Keeps abreast of policies, practices, trends, fraud alerts and information affecting the business and organization.
  • Maintains the operational integrity of the office, including control of assets, and completing monthly/quarterly/annual reports as required.
  • Adheres to established service level agreements with various departments.
  • Contributes to a positive, ethical and respectful working environment and communicates openly with others.
  • Maintain accurate info in Tempworks Enterprise module and ADP system relating to Employer and Employee payroll taxes and insurances.
  • Prepare and file all pro forma Employer quarterly 941 tax returns, Federal Unemployment returns and State Unemployment returns for selected offices timely and accurately
  • Prepare and file all Sales Tax returns for all applicable entities, on a monthly or quarterly basis, timely and accurately.
  • Responsible for balancing and approval of all quarterly and year-end filing & reporting, including 941, 940, state unemployment, w-2 processing and corrections, 1099 issuances and magnetic media reporting where applicable.
  • Evaluate and maintain policies and procedures by assessing current business needs and industry best practices.
  • Perform General Ledger reconciliations of all payroll tax accounts.
  • Maintain continuous virtual or face to face communication with stakeholders.
  • Manage integrations and system conversions and upgrades.
  • Ensure timely resolution of tax agency notices and inquiries.

Education, Skill & Experience:

  • Education: Minimum of four (4) year degree in Accounting, Tax or Finance
  • Experience: Minimum five (5) years' experience processing and paying high volume payroll tax and maintaining an information data base.
  • Knowledge of financial, payroll and sales tax laws and accounting.
  • Financial and technical knowledge related to all aspects of payroll tax filings and payments.
  • Strong computer, excel, macro skills.
  • Working knowledge of database management/SQL report writing skills.
  • Understanding the needs of our business owner clients and their customers and be able to provide the service they require.
