Position Summary

The primary function of the Office of the Registrar is to represent enrollment management programs and provide enrollment services to various constituents across the university in regards to the student academic record, academic class scheduling, and student advising tools. The Office of the Registrar provides service to the students through the determination of eligibility for admission to the University, evaluation of academic records to determine the status of completion of degree requirements, assistance with course registration, and advising on the academic record in relation to transfer credit or CSU/SDSU policy.

Under the general direction of the Associate Registrar of Campus Support, the Administrative Support Assistant II will provide administrative support to the Office of the Registrar and the Campus Support unit. The Campus Support unit provides enrollment services to various constituents in the areas of academic advising, alumni, disabled student services, extended studies offerings and procedures, fee payment issues, financial aid, remediation, residency determination, student health services, international students, testing requirements and scores, as well as the functions most germane to a Registrar's Office: registration, grades, transcripts, and probation/disqualification. The unit is charged with providing customer service and assistance in person, by mail, e-mail, telephone and other technologies to all members of the campus community and the general public

The Administrative Support Assistant II position will provide assistance for special programs enrollment for the Cross Enrollment Program, CSU Intrasystem Concurrent Program, and CSU Fully Online Program. In addition, this position will assist in overseeing all diploma activities. Responsibilities include ordering diplomas, maintaining diploma reports, responding to student inquiries, and assisting with reissue diploma order validation.

This position will also provide support for broad office functions. Responsibilities include: overseeing clerical tasks, ordering office supplies, maintaining inventory, front desk services, and updating paperwork, resources, and documentation.

This is a full-time, permanent (probationary) position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

This position is physically located at the SDSU Main Campus in San Diego.

Education and Experience

Entry to this classification requires fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; an ability to understand standard office procedures; and ability to operate standard office equipment; and ability to learn office technology systems; and ability to perform basic mathematical calculations; and typing and keyboard skills.

These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.

Specialized Skills Required


  • Experience supporting the administrative functions of an office

  • Ability to work well with students and with the public in a reception capacity

  • Ability to work well with colleagues and appropriate administrators in coordinating office administrative functions

  • Ability to exercise confidentiality, respect, thoughtful planning, and office practices in completing responsibilities

  • Experience and skill in using Microsoft Office (Word, Excel, and PowerPoint)

  • PC familiarity and web browser functionality

Preferred Qualifications

  • Two or more years of work experience in an office environment involving a high degree of public contact in which it was required to effectively handle a broad range of interpersonal contacts dealing with complex issues and those sensitive in nature

  • Two or more years of work experience in an office environment independently handling multiple work unit priorities and projects

  • Demonstrated ability to learn policy, procedures, and the administrative functions that support an advising office

Compensation and Benefits

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources. Starting salary upon appointment is not expected to exceed $3,120 per month.

CSU Classification Salary Range: $3,120 - $4,592 per month.

SDSU Vaccine Policy

In accordance with the California State University system-wide policy, students, faculty, and staff must be fully vaccinated against COVID-19 or provide a valid medical or religious exemption in order to access campus. Individuals are considered fully vaccinated for five months after their final dose of a two-dose COVID-19 vaccine or for two months after receiving the only dose of a single-dose vaccine. Afterward, a COVID-19 booster is required to continue to be considered fully vaccinated.

The individual hired into this role will be required to submit their completed vaccination documentation to the university's secure online health portal prior to beginning work. Individuals with an approved medical or religious exemption on file with the university will be required to participate in SDSU's COVID-19 testing program.
