Purpose



The National Payroll Manager is responsible for overseeing the organization’s weekly and biweekly payroll functions while leading the Payroll team. Reporting to the Corporate Controller, this position would lead the payroll processes that ensure efficient and effective methods that meet the federal, state, and local regulations. As a key member of the Finance organization, this position would be a self-starter that thrives in a high-paced environment. 

Duties and Responsibilities



A National Payroll Manager is responsible for but not limited to the following:


* Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
* Operates as the subject matter expert and escalation point to resolve issues and continuously looks for improvements in operational processes and designs and implements those initiatives.
* Ensures compliance with federal, state, provincial and local payroll, wage, and hour laws and best practices, educate and train staff, and advise leadership of changes.
* Collaborates with the Human Resources department to ensure the accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
* Prepares and maintains accurate records and reports of payroll-related general ledger accounts.
* Balances payroll accounts by auditing information, identifying, and resolving discrepancies, reviewing and approving journal entries.
* Reviews and approves quarter-end and year-end balancing for payroll tax returns for multi-state employer.
* Facilitates the preparation of annual tax statements (W-2 Forms) to employees.
* Facilitates audits (including financial statement audits, 401(k) audits, insurance audits and union audits) by providing records and documentation to auditors.
* Identifies and recommends updates to payroll processing software, systems, and procedures.
* Collaborates with Finance and HR departments regarding benefits and payroll standard operating procedures.
* Leads the Payroll leadership team in the day-to-day operations of the payroll department.
* Optimizes the contribution of the team through coaching, counseling and implement workable solutions to business issues/problems.
* Monitors and adjusts workflows of staff to ensure balanced distribution of the workload and offers professional growth through delegation where appropriate.
* Assists in developing change management communication, conducts work planning, estimation, and prioritization to optimize team performance, and collaborates to define standards and reusable approaches for Payroll operations.Top of Form
* Arranges timeline to complete tasks and department assignments or projects, and meet the deadlines related to those assignments.


* Works on special projects to help achieve the objectives of the department.
* Develops all direct reports through performance management and leadership development.
* Travels domestically to different Maxim locations for training and development purposes.

Requirements



Education:


* Bachelor’s degree in Accounting, Business Administration, Human Resources, or related field or equivalent work experience required.

Experience:


* At least five years of progressive work related experience with at least three year of supervisory experience.
* Preferred
* Experience with HRIS and Payroll systems (UKG, ADP, Workday, or similar)
* Experience working in a construction, manufacturing, and/or union based environment

Skills


* Moderate level communication skills, must be able to read and comprehend simple instructions, short correspondence and memos and the ability to write simple correspondence
* Moderate level proficiency in MS applications
* Advanced ability to problem solve and make sound decisions during high pressure situations
* Advanced level multitasking skills with ability to meet deadlines
