Position Overview: The Learning and Development Coordinator performs a variety of administrative tasks requiring attention to detail and time management. This role is responsible for the organization, logistics, and reporting of the Learning and Development department. They proactively collaborate with Learning and Development staff, subject matter experts in various departments, and PacificSource leadership to organize, schedule, follow up, and manage reporting analytics of learning events that enhance the competencies of employees at all levels and align with the strategic efforts of the organization.

Essential Responsibilities:

  • Plan, organize, and schedule learning events offered to the organization. Maintain and publish training calendars and communicate to organization. Manage the logistics of learning events to include, but not limited to, IT coordination, scheduling speakers, catering, venues, printed materials, and documentation.
  • Prepare, print and organize training materials for learning and development sessions. Manage course rosters in the Learning Management System. Proactively communicate course events, expectations, and follow up to participants and leadership.
  • Provide customer service to internal and external customers and provide coverage and back-up for department staff as needed.
  • Assess, evaluate, and analyze training results for classroom delivery, eLearning and blended learning formats. Track and report results for use by organizational leadership, and department strategic planning.
  • Collaborate with Learning and Development staff to develop reports and proposed action plans to meet individual, departmental, and organizational needs.
  • Support the planning and logistical support of ancillary learning events, which include but are not limited to team building events, employee retreats, organizational development, and leadership coaching and consultation.
  • Assist with the planning and logistical support for all facilitator led events, including but not limited to CEO Chat, Leadership Connection and LEAD training.
  • Responsible for managing training content into Workday Learning system.
  • Collaborate with HRIS team members to identify and implement Workday learning system improvements and enhancements.
  • Work with internal and external departments to assist with planning and implementation of New Hire Onboarding, including incorporation of HRIS tasking/workflow for employees and managers.
  • Perform Workday Learning system testing as assigned by HRIS team.
  • Assist and facilitate local New Hire Orientation sessions as needed.

Supporting Responsibilities:
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Models and encourages PacificSource values.
  • Perform other duties as assigned.

Work Experience: Minimum 1 year experience with scheduling, event planning, and/or reporting performance analytics required. Prior experience working with confidential information required. Experience in a Learning and Development environment is preferred. Experience in a service environment is preferred.

Education, Certificates, Licenses: Requires high school diploma or equivalent. Certifications that add value to the learning and development work are encouraged.

Knowledge: Proficient in Microsoft Outlook, Word, Excel, PowerPoint. Excellent reporting and data management skills. Familiar with Learning and Development practices and LMS experience is preferred. Excellent facilitation/presentation skills. Excellent customer service, interpersonal and communication skills. Ability to manage and adapt to change and deal with ambiguity.

Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately less than 5% of the time.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
