The Human Resources (HR) Specialist is an integral part of the HR team, providing operational support for key activities and programs within the HR function such as maintaining the data integrity of the HRIS, leading payroll and benefit administration, all aspects employee lifecycle, employment law/compliance, recruiting, administrative departmental support and related projects and initiatives as needed.

ESSENTIAL FUNCTIONS:

HRIS Management & Support:

Manage all HRIS modules to include:

  • CORE content for all employee and company related data
  • Ensure security configurations and system content are up to date
  • Manage structures, access levels and correct any issues pertaining to Time Management, Onboarding, Benefits, Recruiting, Payroll, Business Intelligence and Employee File Management
  • Creates report templates and scheduled reports to be delivered to internal users,
  • Leads EEO, VETS and Affirmative Action Plan reporting and filings
HR & Departmental Support:
  • Manages and maintains employee file system, including review of and filing of employees’ documents, employee benefits filing and ensure changes are entered accurately in HRIS for payroll deduction.
  • Conducts I-9 processing, ensures I-9 training and support for other locations, and ensures filing of I-9 forms
  • Audits bi-weekly payroll detail registers and communicates corrections as appropriate.
  • Administer benefit plans for all employees, address benefits questions and process Qualifying Life Events
  • Schedules interviews with applicants
  • Prepares new hire offer letters, initiates and tracks all pre-employment screenings
  • Facilitates new hire and benefits’ orientation and supports all onboarding activities to ensure a positive experience.
  • Process all billing/invoicing for the HR dept. and resolve administrative problems with the carrier representatives.
  • Assists in updating and revising job descriptions.
  • Update policies and procedures as it relates to the company Employee Handbook
  • Administer the exit interview process.
  • Ensures proper tracking and processing of employee programs including Tuition Reimbursement, Higher Education Gifts, and Employee Referral Program
Other Duties:
  • Assists with answering employee questions and providing information regarding various HR policies and procedures and employee handbook, monitors the HR shared email and directs questions to the appropriate team member, if necessary
  • Maintains organizational compliance with federal, state and local employment laws and regulations; researches new and/or changes to existing laws and regulations and recommends and/or implements processes/improvements
  • Ensure annual OSHA requirements are completed/filed
  • Maintains and processes all verification of employment, unemployment notices and potential charges in a timely manner
  • Completes legal requests for documentation in a timely manner
  • Maintains files according to Record Retention and Destruction SOP and performs internal Form I-9 audits
  • Actively involved in special projects.
REQUIREMENTS:
  • Bachelor’s degree required, degree in Human Resource Management or related field a plus
  • 3-5 years human resources experience supporting a team required, preferably with a workforce of 300+.
  • 3-5 years of working experience with an HRIS system
  • Broad knowledge of the laws, regulations, policies, procedures and practical applications governing the functions of Human Resources
  • Proficient in MS Office Suite including Word, Excel, PowerPoint, and Outlook
  • Ability to treat all information as confidential and demonstrate a high level of ethics, trust and professionalism
  • Excellent time management skills, including the ability to organize, prioritize and balance multiple projects concurrently and efficiently
  • Adaptable to change in a fast-paced environment
  • Ability to proactively seek out opportunities and make recommendations to improve departmental processes and efficiencies
  • Exceptional interpersonal and communication skills; capable of relating to individuals at all levels
  • SHRM-CP or PHR Certification preferred
