Job Summary
Perform professional duties associated with reviewing and processing a variety of appointment transactions via HR Front End (HRFE), submitted by departmental users, for accuracy and adherence for university policies and procedures, as well as Federal and State laws and how these policies procedures and laws translate into processing the appointment at the University of Illinois at Urbana-Champaign.

Duties & Responsibilities

Processing:

  • Review and apply routine appointment transactions, including faculty, academic professionals, post docs, graduate assistants, and civil service.
  • Employee group changes (employee is changing from one e-class to another and/or changing benefit eligibility)
  • Reappointments
  • New Hires
  • Employee Record Changes
  • Leave of Absences
  • Separations
  • Process seniority and appointment transactions.
  • Maintains seniority reports and provides reports on request.
  • Ensures that the data and documentation submitted with each transaction is appropriate and meets Federal, State, System and University hiring policies and procedures
  • Appropriately contacts units to resolve any questions or discrepancies
  • Reviews I-9's in the Tracker system to ensure accuracy
  • Assist units and employees via phone, instant messaging and occasionally in person with a variety of matters, referring complex issues to upper-level staff
  • Acts as a liaison to the iCard ID center
  • Verifies retirement date for retirees seeking a Retiree ID
  • Acts as a liaison to the Parking Services
  • Verifies new hire employment for parking purposes
  • Works with units to end jobs or separate employees who have not been paid in the last 18 months
  • Assists with special projects as directed
  • Data entry directly into Banner
  • Data entry directly into HRFE
Minimum Qualifications
  • High school diploma or equivalent.
  • Any one or any combination totaling two (2) years (24 months) from the following categories below:
    • Course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
    • Progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.
Knowledge, Skills and Abilities
  • Knowledge and understanding of rules and regulations regarding employment and varying degrees of work authorization (including US Citizens, Permanent Residents, or foreign nationals - most common being those related to J*, H* and F* visa types) is preferred
  • Knowledge of Federal, State, System and University policies relating to all employee groups is a plus.
  • Requires attention to detail, good judgement, discretion, and confidentiality.
  • Must be able to provide a high level of customer service.
  • Requires good verbal and phone skills.
Appointment Information

This is a 100% full-time Civil Service 2135 - Human Resource Representative position, appointed on a 12-month basis. The expected start date is as soon as possible after 4/15/2024. The salary for this position is $44,000. This position is not eligible for sponsorship.
