Job Description Summary
The Weitzman School of Design is seeking a Grants Manager to support the rapidly growing Research Support Center (RSC). This position reports directly to the RSC Director and supervises the Grants Coordinator. The center supports all pre-award and post-award funded grant/contract activities of the faculty and research centers including PennPraxis which serves as the applied research arm of the School.

Pre-Award

Assist the RSC Director with proposal development, including, but not limited to, reviewing solicitations, loading proposals into PennERA, tracking proposal approvals and the status of executed contracts, and other related pre-award issues for a diverse sponsor/client portfolio funded externally or internally within the University. Apply knowledge of OMB Uniform, Office of Research Services, and internal School guidelines.

Post-Award

Under general supervision of the RSC Director, provide direct post-award financial support by reviewing AIS information and award notices for accuracy, budget awards in BEN Financials, prepare and monitor indirect cost recovery budgets, prepare and enter journals and cost transfers, prepare monthly account reconciliations; ensure regulatory and administrative compliance with sponsor, school, and university policies and procedures; exercise overall management and operational responsibility for issues of finance and reporting, compliance, and procurement services; work proactively with vendors and appropriate central university offices to investigate and/or correct issues as necessary; develop and distribute comprehensive monthly financial reports to investigators; work closely with the RSC grant coordinator to ensure accurate payroll salary distribution and other payroll related issues; meet with faculty and student award recipients regularly and participate in all other activities required to support research projects; plan reporting schedules and ensure compliance with the sponsor, manage the close-out process, and maintain RSC files for audit purpose.

The Grants manager will also be responsible for setting up subaccounts, coordinating the creation of subawards, amendments and invoices for Penn Praxis and other research centers at Weitzman, maintaining effort reporting on a bi-annual basis, work with ISSS to issue visas.

Supervises the Grants Coordinator.

Qualifications

The successful candidate should have the ability to work independently, clearly demonstrate attention for detail, highly effective interpersonal skills and the ability to enforce grant guidelines with constituents in a professional, diplomatic and assertive manner. A successful candidate will possess an ability to work under pressure with multiple project deadlines and an ability to work well with individuals of diverse backgrounds and skill sets who represent different areas of the School.

A Bachelor's degree and 3-5 years of experience, or equivalent combination of education and experience, are required. A successful candidate should have a considerable knowledge of University financial and sponsored policies and procedures, experience in using University systems including, but not limited to, BEN Financials, Workday - Human Capital Management, PennERA, Grant Financial Management System (GFM), Business Objects, Penn Marketplace, journals, and purchasing cards. We are seeking a candidate possessing a pro-active work style with strong follow-up skills and the ability to enhance the RSC's user experience. This position requires the ability to work well under pressure. Must have the ability to work-independently, multi-task, organize, prioritize, communicate effectively, and interact in a professional manner with a diverse faculty, staff, students, and vendors.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
