Responsibilities

The Grants Administrator position reports directly to the Associate Dean for Research of the Jim Moran College of Entrepreneurship (JMC). Will support the college's research functions, but be primarily responsible for the development, implementation, and administration of contract/grant/awards activity for the JMC, including assisting in proposal development for grants and awards. Processes and provides guidance on sponsored project HR, purchasing, and travel transactions.

Responsible for oversight of highly specialized and complex contracts/grants management for JMC. Responsible for developing and preparing financial reports, tracking salary commitments, identifying and resolving funding and compliance issues, coordinating close-outs; documents organization and storage. Schedules regular meetings with PIs to discuss their funded projects and other sponsored project commitments. Assists with FACET related questions for sponsored projects. Serves as a liaison to relevant sponsored project stakeholders. Communicates awards, outside collaboration and other sponsored project activity as appropriate to key personnel such as Deans, Directors, and marketing and social media personnel. Provides guidance and mentoring to administrative staff and leads training and special projects.

Advises and assists faculty, staff, and principal investigators in all areas of contracts/grant pre-award activities. Serves as subject matter expert for all compliance and policy concerns including NIH and other sponsor guidelines to ensure accuracy of proposal submissions which consist of budget, transmittal, and cost share preparation; uploading proposal documents; proposal document tracking, organization, and storage. Serves as a liaison between the College, funding agencies, the Research Foundation, Sponsored Research and other relevant organizations for JMC. Develops and implements policies and guidelines involving grants administration including establishing departmental deadlines.

Works with leadership to develop activity reports, project analysis, projection of project spending and salary allocations, strategic plan and assemble technical information and documents required for grant proposals. Handles all RAMP data entry for PIs for contracts, grants, export control, and visiting scholars. Identifies funding opportunities, takes an active role in writing and developing proposal documents, as well as assisting PIs in compiling proposals for grants, contracts, and awards.

Qualifications

Bachelor's degree and four years of experience or a high school diploma or equivalent and experience equal to eight years. (Note: a combination of post high-school education and/or experience may substitute at a comparable rate.)

  • Experience in both grant and proposal development as well as administration.
  • Diverse experience collaborating with various funders and funding agencies such as NSF, DOE, private foundations, and economic development agencies.
  • Detail-oriented, task-focused, and equipped with strong writing skills.
  • Ability to effectively collaborate with diverse stakeholders while managing competing demands.

The ideal candidate should possess a diverse background in working with funders and funding agencies such as NSF, DOE, private foundations, economic development agencies, and so on. They should have experience in both grant/proposal development and administration, be detail-oriented and task-focused with excellent writing skills. Additionally, the candidate must be able to work effectively with a broad range of stakeholders while simultaneously managing competing demands on their time.

What is a typical day like?

Dedicated time to focus on proposal research, writing, and development. Meetings with faculty, staff, and administration to keep projects moving forward. Begin grant administration of existing grants. This position will spend a lot of time on the computer.

What is expected in the first 60-90 days?

During the first 60-90 days you will gain a comprehensive understanding of the JMC, including its programs, labs, centers, and faculty interests. Moreover, you should familiarize yourself with FSU's processes, systems, rules, and guidelines pertaining to grants, sponsored programs, and budget/expense processing. In addition, you will work closely with the Associate Dean for Research to conduct a thorough scan of all open opportunities that align with JMC's interests and expertise. Finally, you should develop a grant overview presentation to deliver to relevant JMC parties to ensure that they understand our internal grants process and goals.
