Right now, we are searching for a Front Desk and Office Administrator who will handle a wide range of administrative duties for Waystar. Demonstrating professionalism, solid judgment, discretion, and effective written and verbal communications, this person must be proactive in anticipating business needs and always present themselves in a professional manner. He or she will display consistent positive energy and will be ultimately responsible for an efficiently run office. An ideal candidate for this position can approach problem-solving challenges independently, enjoys working in a team environment, and has a strong attention to detail.


The individual selected for this position will be responsible for:

  • Welcome guests to Waystar's office and make them feel at home
    • Provide support by answering or directing all questions to the appropriate party
    • Maintain visitor logs
    • Distribute temporary badges, as needed
  • Serve as the point person for the mailroom
  • Handle incoming and outgoing packages and mail, including sorting by department/employee to ensure timely distribution
  • Manage third-party contract staff
  • Stock supplies needed for the mailroom
  • Manage office supply and snack / drink needs
    • Ensure adequate inventory and place orders as necessary
    • Ensure snack and drink areas remain stocked and tidy
    • Manage relationships with applicable vendors & service providers, including timely invoice receipt and payment
  • Oversee & maintain the main lobby, conference rooms and reception areas
  • Handle all incoming calls and inquiries, directing calls to the proper person or taking and delivering messages when necessary
  • Assist with office parking management
  • Serve as a Floor Marshal
  • Coordinate and communicate with office security guard
  • Assist with coordination of local events
  • Assist with office safety signs/PPE supplies and maintain compliance on an annual basis
  • Other projects and additional general administrative duties, as assigned


  • A self-starter who is able to anticipate needs of our guests and the office and possesses a strong sense of customer satisfaction
  • Be professional and courteous while projecting a positive image for Waystar
  • Excellent interpersonal skills, flexibility, and the ability to adapt and work well with all levels of internal management and staff
  • Excellent written and verbal communication skills with the ability to effectively communicate with all levels of an organization
  • Organized, detail-oriented and able to multi-task in a fast-paced environment
  • Must be able to engage in problem-solving skills to help identify and solve potential issues that arise
  • Must be dependable with excellent attendance record
  • Experience in Microsoft programs (Word, Outlook, Excel, PowerPoint) preferred
  • Bachelor degree preferred but not required

This role is located in SLC, Louisville, Mid-town Atlanta or Duluth.
