Job Summary

The Executive Search Coordinator (ESC) assists Search Leaders to provide project management, administrative and logistical support to the search team. This position schedules candidate interviews; prepares; proofs; and edits documents for candidate presentation and interviews; coordinates travel; as well as, project manages each search with comprehensive documentation. The ESC promotes customer service excellence and operational best-practices within the Executive Search Department. In addition, the ESC manages search processes and logistics of the search throughout the entire search process.

Job Responsibilities

  • Providing project management and serving as a primary resource, the ESC is responsible for the coordination of the search process to move the search from kick off to completion.
  • Responsible for creating and maintaining search records with appropriate documentation to project manage all permanent searches from beginning to end.
  • Schedules and coordinates internal meetings and calls between internal resources and clients and/or candidates, as well as update calls, onsite and video interviews.
  • Researches and provides community and organizational information to internal resources and candidates.
  • Writes executive position overview and any other necessary client and candidate document.
  • Timely processing of expense reports.
  • Works with corporate travel agency to arrange travel for Search Leader and candidates.
  • Effectively enforce search process standards.
  • Performs all other duties and special projects as assigned.

Education
  • Bachelor's degree in business/marketing/healthcare or related field or minimum of three (3) years of job-related experience, preferably in a marketing/healthcare field
  • Equivalent combination of education and experience that provides the required knowledge, skills and abilities.

Minimum Work Experience
  • 2+ years experience in sales, recruiting or customer service capacity.
  • Self-motivated with the ability to work independently or as part of a team.

Key Skills
  • Excellent clear and precise telephone, written and oral communication skills.
  • Strong interpersonal skills, including the ability to work well with a team and contribute to a teamwork atmosphere.
  • Proficiency in use of Microsoft Office programs and Internet research.
  • Ability to analyze data and present it in a clear and concise manner.
  • Attention to detail when proofreading emails, letters, profiles, summaries, and references.
  • Ability to "think outside the box" to aid in the development of effective communication between departments and improving procedures. Excellent written and verbal communication skills.
  • Customer service oriented.

Work Environment
  • Job is typically performed in a general office environment.

Physical Requirements

Pay Rate
$16.00 - $20.00 Hourly
Final pay rate is dependent on experience, training, education, and location.
