Our services include air and ocean freight forwarding, contract logistics, customs brokerage, distribution, inbound logistics, truckload brokerage and other supply chain management services, including consulting, the coordination of purchase orders and customized management services.

JAS Worldwide is a global brand that organizes a large number of meetings, conferences, and events throughout the year for internal and external partners. We're looking for a highly skilled Travel and Events Manager who can help make our events consistently efficient, cost-effective, and memorable. The ideal candidate will be able to evaluate and negotiate with vendors, collaborate with our legal team in drafting service contracts, and manage communications with attendees, speakers, and client stakeholders, book complex travel arrangements, while adhering to JAS's travel and expense policy. Above all, the Travel and Events Manager must be comfortable in a leadership role that demands a creative, business-driven mindset and lasting relationships with vendors.

ESSENTIAL FUNCTIONS:

  • Oversee the planning and execution of major events each year, owning every aspect of an event, from venue choice to success metrics
  • Keep budgets and timelines under control
  • Comply with all national and local regulations
  • Make travel arrangements for individuals, groups, and organizations, including scheduling flights and ground transportation, booking accommodations, and handling any other trip-related tasks
  • Analyze spend in categories such as airlines, hotels, etc., and establish quarterly meetings with our expense and travel administrator to identify preferred vendors and negotiate further discounts as spend and data increases

RESPONSIBILITIES:

  • Develop a complete understanding of the requirements for global events
  • Research vendors and make selections based on their creativity, quality, and cost
  • Book venues, schedule guests, review and finalize contracts, and lock down day-of logistics
  • Develop content for event materials and work our marketing team to produce within compliance
  • Hire personal as needed across all functions of an event (e.g., registration, setup, catering, audio/visual)
  • Handle day-to-day administration of events and programs, including order placements, BEO reviews, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution

QUALIFICATIONS:

  • HS Diploma, Bachelors, Bachelors Degree preferred
  • 2+ years' experience in similar position in global corporate travel and events
  • Cultural sensitivity, international experience preferred
  • Established relationships with vendors
  • Experience in managing budgets and tracking expenses
  • Proficient with Microsoft Office suite of products
  • Experience in event planning or event coordination in a corporate environment
  • Experience working with colleagues in graphic design, sales, marketing, and communications
  • Highly motived self-starter, problem solver, team player
  • Excellent organizational, verbal, and written communication, negotiating, and multitasking skills
  • Ability to remain calm under pressure and maintain a customer-service mindset

ENVIRONMENT:

Role requires traveling, which could be (up to 50%) required in support of the position's responsibilities.

While performing the duties of this job, the employee is regularly required to sit; stand; walk; use hands and finger to feel and handle; reach with arms and hands; talk and hear. While performing the duties of this job, the employee frequently is required to stoop, kneel, and crouch; lift weight or exert a force up to a maximum of 25 pounds.
