Description of Position

Other duties may be assigned.Oversees and ensures that the office administrative functions of the organizational unit to which assigned are effectively carried out. Practices confidentiality and discretion in all aspects of the position. Performs difficult, complex, technical, and/or specialized office support work, which requires the exercise of independent judgment, the application of technical skills, and detailed knowledge of the activities and procedures specific to the division to which assigned. May assist in the preparation of the annual budget for the assigned division including compiling data, making revenue projections, and recommending service levels and enhancements; monitors and tracks expenditures, ensuring the division VP remains within approved budget allocations. Attends to a variety of administrative details such as keeping informed of departmental/division activities, transmitting information, developing, implementing, and interpreting policies and procedures, and monitoring day-to-day operations of the division to which assigned. Performs project research and report preparation related to the activities of the organizational unit to which assigned; may prepare and update a variety of periodic and special narrative, accounting, database, and statistical reports. Functions as the primary point of contact for all departments within the division. Receives and screens visitors and telephone calls requiring the use of judgment and the interpretation of policies, rules, procedures, and regulations. Prepares correspondence, reports, forms, vouchers, work orders, and specialized documents related to the organizational unit to which assigned from drafts, notes, brief instructions, corrected copy, or dictated tapes; proofreads materials for accuracy, completeness, compliance with departmental/division policies, formatting, and correct English usage, including grammar, punctuation, and spelling. Performs other duties of a similar nature or level. Manifests the ability to communicate with high-level executives and with high-profile community leaders. Carries out lead responsibilities following the organization's policies and applicable laws. Duties may include training employees, planning, assigning, directing work, addressing complaints, and resolving problems.Minimum Expectations & Requirements

-Undergraduate degree required; or an equivalent combination of education and experience;- Minimum of two years of experience required in the area of specialty; four or more years required at the highest complexity levelComputer Skills:- To perform this job successfully, an individual should have knowledge of Accounting software; Database software; Internet software; Spreadsheet software, and Word Processing software- Regular attendance is an essential job function as it demonstrates dependability towards the performance of job duties

Preferred Skills & Abilities

- Four or more years of directly related experience.- Professional experience in a community college/higher education work environment.
- Ability to speak and understand Spanish is a plus.
