Contract Ombudsman Office Specialist

Summary: As a Temporary Ombudsman Office Specialist, you will provide essential support to our Long-Term Care Ombudsman Program. Your responsibilities will include recording and documenting calls and emails from residents, family members, and staff of long-term care facilities. You will enter data into designated database systems, make appropriate referrals to Ombudsman staff, and assist with resolving complaints. Additionally, you may provide information on residents' rights and facility procedures, attend required training, and prepare reports for program staff.

Key Responsibilities:

  • Review phone messages and emails, documenting them in designated database systems.
  • Assess caller needs and make appropriate referrals to Ombudsman staff.
  • Maintain documentation and records of contacts and case actions.
  • Provide explanations of residents' rights and facility rules.
  • Attend required training sessions.
  • Prepare reports from database and spreadsheet systems for Ombudsman Program staff.
Requirements:
  • Must obtain Certified Ombudsman status within 45 days of hire date.
  • Must pass periodic background checks processed by Texas Department of Health and Human Services.
Education: Bachelor's degree required

Preferred Qualifications: Bilingual English/Spanish preferred, experience in social service consumer response via phone systems, one year of client data entry and management experience, experience working with older adults and/or persons with disabilities.
