You Will Be Responsible For:

Provides administrative support to the CFO of the West Volusia market of AdventHealth and serves as a key member of the Administrative support team. Manages all aspects of the contracts process that exists within the West Volusia market. Through effective communication techniques and interpersonal skills, the Contracts Administrator serves as an essential link between the CFO, the Administration team, the hospital Directors, corporate legal and compliance teams, and other CFOs of the AdventHealth Central Florida Division and their executive assistants. Regularly utilizes independent judgment to successfully support the CFO in all aspects of the contracting process.

Qualifications

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:
· Works independently to coordinate projects, prepare reports and complete assignments as delegated by the CFO. Facilitates written communication by grasping facts that are given verbally, in an outline form or by notes given. Performs research as necessary to include analysis of complex issues for the completion of documents. Ensures accuracy of documents in final form.
· As a member of the administrative support team, supports other senior executives with special projects as requested while using sound judgment to maintain the level of discretion and confidentiality specified and assists other support team members as needed.
· Has scope over all contracts within the West Volusia market (AdventHealth DeLand & AdventHealth Fish Memorial); including but not limited to Physician Employment Contracts, Recruitment Assistance Agreements, Professional Service Agreements, LLC Agreements, Physician Services Contracts, all other professional services contracts, leases of all types within AdventHealth and vendor contacts as deemed necessary.
· Assist in the preparations and review of contracts and related documents for AdventHealth DeLand and AdventHealth Fish Memorial.
· Has scope over non-physician related leases preparing these for signature and processing through accounting.
· Has scope over Transfer Agreements processing if needed through Legal Services then to the appropriate Executive at AdventHealth DeLand or AdventHealth Fish Memorial.
· Has scope over School/University Affiliation Agreements working with the hospital Education Department to obtain contract information then processing agreements using established AdventHealth Legal template.
· Prepares, analyzes and reviews new and renewal contracts.
· Assists in the review of contract terms and routine payments.
· Assists with preparation of contracts for submission to AdventHealth Compliance, AdventHealth Legal and AdventHealth Tax for review and approval.
· Receive all physician related invoices and reviews for accuracy, providing appropriate backup and using appropriate tracker form. Submits all forms to CFO for review and approval, then sends to Accounts Payable for processing per established process.
· Reviews all payments made to physicians to verify accuracy and documentation through current executed contracts.
· Assists with maintaining the electronic contract database and files and manages the contract workflow.
· Uses appropriate discretion when discussing personnel and compensation and other related confidential issues.
· Demonstrates the ability to communicate clearly and effectively
· Maintains the contract tracking system, including preparing and submitting contracts for corporate approval, monitoring deadlines, maintaining the paper files and the electronic filing system.
· Greets visitors, physicians and hospital staff in a courteous and professional manner and diligently tries to meet their needs.
· Develops and maintains an organized filing and documentation tracking system to ensure timely retrieval of necessary information and/or appropriate tracking of time-related documents

KNOWLEDGE AND SKILLS REQUIRED:
· Contract management and contract administration
· Works with minimal supervision. Exercises initiative and judgment on a daily basis handling confidential information and privileged information. Decisions are made with and without guidance from a supervisor. Mature judgment is required in dealing with new and unexpected situations as they arise. Must have appropriate communication skills when dealing with Administration/management, physicians, staff patients and the public. This position requires the ability to multi-task, appropriately prioritize projects and work well under pressure.
· Demonstrates a positive and helpful attitude in relationships with public, co-workers and others.
· Contributes to the operations and team effort by expressing ideas, as well as concerns, problems, and status of operations when necessary. Eliminates confusion and misunderstanding in delivering clear, concise, accurate and consistent messages in various modes of delivery. Establishes methods for receiving and understanding accurate information by repeating, questioning, and note taking.
· Understands and abides by confidentiality of all files, data, telephone conversations, etc. and sustains level of confidentiality by adhering to the ethics of the executive personnel. Handles confidential patient and sensitive information in accordance with HIPAA guidelines.
· Must possess excellent written, oral and computer skills in addition to good communication skills.


EDUCATION AND EXPERIENCE REQUIRED:
· Excellent proficiency in Microsoft Office Products (Excel, Word, Outlook, PowerPoint, Teams, SharePoint) required.
· Five to seven years of directly related work experience required, preferably in a health care setting.
· Knowledge of contract management and other fiscal transactions.
