Description:
Prepares medical records for colleague visits. Performs a combination of routine and complex clerical duties requiring an in-depth knowledge of the department's operations and procedures. Duties include composing and word processing documents, preparing forms, maintaining departmental information systems and records, process record release, transfer chart requests and coordinating meetings. Answers telephones, opens mail, and greets and directs colleagues.

Maintains front office process and provides support to clinic staff. Maintains confidentiality of colleague medical records in accordance with HIPAA at all times.
Maintains confidential colleague medical records, in accordance with HIPAA. Discusses colleague and hospital information only among appropriate personnel in appropriately private places Prepares charts for colleague new exams, vaccines, and fit testing clinic visits.

Maintains active and terminated colleague medical records. Responsible for pulling, reviewing, and processing faxes, shared email box and distributing to appropriate staff if needed.

Supports the clinic staff, both preparing for colleague office visits, obtaining clearance documentation, and communicating clearance information to HR. Supports front office for check ins, answering phones, entering information into EMR and QuickBase, etc.

Opens, sorts, screens, and routes incoming mail, with authority to open personal and confidential mail and prioritize items on behalf of the recipient. Processes outgoing mail and packages.

Responds to inquiries from departmental colleagues regarding Employee Health services, records and other matters requiring in-depth knowledge of departmental operations and procedures.

Obtains and relays information on behalf of department staff. Gathers information for projects on behalf of supported staff. May schedule appointments for colleagues, following established scheduling guidelines and procedures.

May gather information from colleagues and perform registration and/or processing tasks such as completing related forms and records and entering information into computerized systems.

Trouble shooting of various equipment e.g. printers, fax etc. Perform simple routine maintenance, change paper/ ribbons/ cartridge. Coordinate the referral of equipment problems to appropriate resource for repair, Xerox, MIS etc. Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner.

Helps to identify problems, offer solutions, and participate in their resolution. Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.
