Job Title: Business Systems Analyst (SHC)

Job Summary: EMCOR Facilities Services (EFS) has an immediate need for a Business Systems Analyst / Coordinator in Menlo Park, California. The individual will report to the Business Manager and will provide support with Maximo, BMS and Temptrak as well as data analysis and ad hoc reports. Conducts "face to face" relationship between EMCOR Facilities Services and supplier in
the service of the client's requirements. Maintains commercial properties by self-performing the following duties, but not limited to, financial analysis, invoicing, coordination with vendors and customer. The BA manages several periodic reports such as labor report, KPI reports, and expense reports. The BA in this role will be involved in high profile Ad hoc projects to assist Business Manager with strategic goals and increase operational efficiencies. Support is provided through conducting the following: complex quantitative and qualitative analysis, creating and managing various weekly/monthly/ quarterly reports, documenting current and future state business processes, managing project workflow, and monitoring the success of project goals.

Essential Duties and Responsibilities:

  • Works with a team to provide advanced support of existing and new implementations (troubleshooting, upgrade testing and documentation) primarily but not limited to Maximo, BMS, and Temptrak.
  • Diagnoses issues reported by end-users and finds root cause and solutions, recording findings in the help desk ticket tracking software
  • Communicates status of open actions to project leads/IT management and key business users
  • Assists in maintaining user logins, passwords, and access within the established security guidelines
  • Devises or modifies procedures to solve business problems considering computer systems capabilities and desired results
  • Frequently interacts and follows up with internal customers, support team, and software vendor(s) as required in problem-solving, testing, and implementations
  • Travel as required in support of the operating companies in order to gain a more intimate knowledge of business operations, assist in software implementations, and train end users
  • Transfers knowledge and trains users and other members of IT on best use of feature/functions available in supported application
  • Creates and manages key weekly, monthly, and quarterly reports predominantly in excel & smartsheets.
  • Assist with a large number of Ad hoc projects in a fast-paced setting
  • Identifies key performance indicators in Maximo on weekly and quarterly basis
  • Coordinates and prepares a wide range of workflow changes and partnering with vendors/customers on timely completion of key deliverables.
  • Creates and maintains data dashboards and PowerPoint presentations that provide up to date results of project progress
  • Creates process maps (gap analysis) to display current state and future state workflows.
  • Maintains established reporting structures in excel and smartsheet metrics to ensure sustained project results.
  • Serves as a resource to identify and research best practices, benchmarking data and other supporting documentation for various engineering and account management related topics
  • Analyzes quantitative and qualitative data as necessary throughout the course of projects, including the development of data collection strategies.
  • Supports project teams in structuring work and maintaining timeline and agreed upon key
    deliverables.

Qualifications:
  • Four (4) year college degree and/or equivalent work experience
  • Three (3+) years' work experience with Maximo or other Facilities industry related software as a Business Systems Analyst
  • Experience supporting some or all of the following modules: Job Cost, AR, A/P, Contract Billing, Work Order Management, HR and Payroll
  • Experience with Data Extraction and Report Writing tools
  • Advanced Microsoft Excel experience
  • Excellent analytical, documentation, and communication skills, self motivated, strong interpersonal skills and the ability to manage several simultaneous tasks using good time management
