SUMMARY:

This position will partner with the director of UR Better to assist units across campus in process and systems analysis and improvement, managing data and technical practices, and developing tools and solutions in support of University planning and decision making. The business analyst will perform complex process and systems analysis, document existing processes and procedures, and research, design, and implement tools and solutions to improve operational effectiveness across campus. The business analyst will help manage cross-functional project teams to identify, recommend, and implement system improvements and enhancements, develop and maintain key University tools (to include reports and dashboard, Dynamic Forms, etc.), and assist offices in enhancing data practices. The analyst will also serve as a project manager for new process implementations, including testing of any technology solutions leveraged by the new process, and providing thorough documentation and training materials for the new process.

RESPONSIBILITIES:

Process and System Improvement Project Leadership

  • Collaborate with process owners, functional experts, and stakeholders to evaluate current processes, systems, and configurations, and identify opportunities for improvement
  • Evaluate potential projects to assess total university impact of improvement and assist in prioritization of projects
  • Manage project teams comprised of subject matter experts and functional area staff to fully document current processes and configurations, detail user requirements, and identify goals, issues, and/or pain points to address
  • Identify and assess the feasibility of possible process improvement options through research of best practices, evaluation of existing and new technology solutions, and meetings with stakeholders
  • Provide analysis of different redesign options, and recommend and justify process improvement options with the greatest overall benefit to the University
  • Assist project teams with solution design, user testing, and implementation
  • Schedule and facilitate meetings of project teams and stakeholders to maintain constant communication and proactively address problems that arise
  • Assist with complete documentation of redesigned processes and newly implemented solutions, including policies, procedures, system configuration documents, etc.
  • Assist with development of user guides, reference manuals, and training materials and deliver training, as needed, for new processes or technology solutions
  • Serve as a resource to offices undertaking improvement projects on their own
  • Serve as a key resource in the implementation of the new Enterprise Resource Planning platform, including process redesign work, assisting functional units in initial system configuration, data mapping and conversion, establishing reporting needs and strategies, and testing, documentation, and training
  • Serve as office representative on University committees and project teams, as assigned by director
Develop Tools and Support/Streamline Technical Practices for University Planning, Reporting, and Decision Making
  • Collaborate with units across campus to identify needs and develop, implement, and maintain tools to support strategic and operational priorities and data-informed decision-making. Examples may include, but are not limited to:
    • Report and dashboard development: Assess user needs, and design and maintain reports and dashboards for units across the University; when needed, collaborate with data stewards and the data warehouse team to identify new data architecture needs and verify data accuracy
    • Electronic form and workflow development: Work with units to design, test, and implement forms, with supporting workflows and communications, to automate, streamline, and standardize current and new processes. Train administrative users on system functionality
    • New ERP platform: Support finance and HR functional units in initial system configuration, reporting strategy and design, and support ongoing maintenance and changes post implementation
  • Develop deep knowledge of core system capabilities across functional and data domains; assist director in evaluating new project requests and business needs against existing systems to identify optimal solution and/or system improvements and enhancements (may include integrations, configuration changes, etc.); assist offices in evaluating and identifying new applications and products when necessary and appropriate
  • Partner with data analysts across the University (HR, OPB, Office of Institutional Effectiveness, Registrar, Admissions, Financial Aid, IS, etc.) to ensure the administrative data ecosystem is robust, aligned, and that reporting and analysis across platforms and data domains provides the most effective and efficient environment to support data-informed decision-making at the institution
  • Develop deep understanding of system reporting capabilities across campus and respond to data needs by designing, maintaining, and supporting report and dashboard development in the appropriate system
QUALIFICATIONS:
  • Strong analytical skills, including the ability to identify key questions, best sources of information, understand nuances, and present clear findings to specialist and non-specialist audiences
  • Demonstrated critical thinking skills and creative problem-solving abilities
  • Demonstrated ability to learn new systems, procedures, and processes quickly and independently
  • Advanced interpersonal skills with the ability to build and maintain strong relationships and networks with colleagues and departments across campus
  • Strong communication skills, both orally and in writing, with demonstrated experience explaining and documenting complex process, system, and data concepts to technical, functional, and non-technical audiences
  • Demonstrated judgment and discretion in the sharing of confidential and sensitive information
  • Detail-oriented with strong organizational skills and the ability to manage multiple, complex projects concurrently while adhering to tight deadlines
  • Highly proficient with Microsoft Office suite of products, specifically MS Excel, and experience with ERP, CRM, BI, and ECM systems highly preferred
  • Knowledge of HR, finance, and/or student systems and processes
  • Strategic thinking and ability to weigh costs and benefits of multiple solutions to a problem and then craft / identify the solution with the greatest total benefit to the university
  • Demonstrated ability to develop documentation and training materials and deliver user training
EDUCATION & EXPERIENCE:
  • Bachelor's degree required
  • Prior higher education or non-profit experience preferred
  • 3-5 years of experience with business process analysis and/or project management
  • Experience in data analytics with knowledge of reporting and business intelligence/visualization tools
WORK HOURS:
  • Full-time, exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
SALARY STRUCTURE:
Pay Grade 9 (Hiring Range $73,008.00 to $100,402.00 annually)
