Works in close collaboration with the wider development and alumni relations team and Penn departments/ schools/ centers.Job DescriptionReporting to the Sr. Associate Director of Alumni Events, the Associate Director plans, organizes, and manages high visibility events that support the fundraising and engagement goals of the External Affairs office at the Wharton School. This position will be integral in supporting MBA and Executive MBA reunion events which are key components of the engagement strategy for Wharton's 100,000+ alumni around the world. Responsibilities will include managing contracts and vendors, securing rooming blocks, updating web pages, creating and managing communications timelines and sourcing giveaways. This role will play a large role in oversight of campus event logistics with a special focus on Wharton's San Francisco campus and program events including but not limited to Scale School, Executive MBA Reunion, Venture Lab, and partner events. This position will be responsible for planning and executing MBA student-facing and young alumni engagement events to promote alumni resources, volunteer and fundraising opportunities to the next generation of MBA alumni. This position will also provide event support for Global Forums, board meetings and other External Affairs events as needed. Experience with event project management, contact negotiations, establishing vendor relationships is highly desired. Position will require domestic and international travel and a valid passport and driver's license is required. Some evening and weekend work is also required.
Qualifications
Bachelor's degree or equivalent combination of education and years of experience preferred; 3-5 years min experience. Proven ability to organize and complete multiple, simultaneous tasks with close attention to detail and prioritization to meet deadlines. Strong management, organizational and planning skills a must with exceptional attention to detail. Ability to identify and implement innovative solutions to department event processes. Ability to anticipate and troubleshoot unexpected challenges as they arise. Able to work independently as well as collaboratively. Background or knowledge in event registration systems a plus. Ability to travel and valid passport is required. Weekend and evening work sometimes required.
