500219 - The Assistant Director, Events exercises oversight for all campus events programming. Manages day-to-day events office operations and facilitates high-profile campus events. Provides exemplary customer service, maintains high levels of satisfaction, and adheres to sound financial practices. Assists and supports the Director, Events and Support Services.
RESPONSIBILITIES:

Operations and Planning

  • Oversees all aspects of the planning, implementation, management, and administration of key and high-profile events. Manages work flow and coordinates staffing using all available resources. Assists on-site.
  • Serves as a principal point of consultation and expertise to University constituencies on all matters pertaining to major event planning and management.
  • Serves as principal liaison between contractors, organizers, faculty, and administrators with regards to all facets of the logistical operations support of multiple programs and events. Resolves/manages major problems and issues as they arise.
Management
  • Manages the events staff and support day-to-day operations. Prioritizes, delegates, and assigns work to staff; ensures work quality and completion.
  • Ensures compliance with established department policies, procedures, and standards.
  • Develops materials and processes to evaluate event execution and customer satisfaction.
  • Assists in negotiating and administering contracts in accordance with budget constraints and University policies and procedures.
  • Assists with staff training plans and programs.
  • Represents and promotes the interest of the university and the department with a strategic perspective.
Finance
  • Monitors event budgets, and produces required reports.
QUALIFICATIONS:
  • Demonstrates high ethical standards, tact and diplomacy to work with the University's hierarchy; maintains confidentiality. Capacity to recognize public relations matters in relation to the standards of the president and the trustees' philosophy.
  • Ability to apply critical thinking, exercise flexibility, and work calmly and efficiently under pressure.
  • Effective communication, interpersonal and conflict resolution skills.
  • Effective management of diverse human resource needs. Training and delegation skills.
  • Skill in organizing resources and establishing priorities.
  • Thorough knowledge of all aspects of event and conference planning, execution, and management.
  • Excellent fiscal management skills.
  • Contract writing, negotiation and enforcement skills.
  • Ability to learn and use current technologies. Knowledgeable in the use of business and conference related computer software.
  • Required: Must have a valid Driver's License and be able to produce a driving record with a minimum of 3 years of driving history in good standing
EDUCATION & EXPERIENCE
  • Bachelor's degree in hotel, hospitality, or event management, or related field, or combination of equivalent experience and training.
  • Minimum of 5 years' experience in conferences and event planning.
  • Minimum of 2 years' supervisory experience.
  • Event management system software experience, preferred
WORK HOURS:
  • Full-time, exempt position
  • Monday - Friday, 8:00 a.m. - 4:30 p.m.; 7.75 hrs./day; 38.75 hrs./week; some nights and weekends required
  • This position is designated as essential personnel and is subject to work outside the normal work schedule on an emergency basis and are also subject to planned overtime work as required by the immediate supervisor.
SALARY STRUCTURE:
Pay Grade 7 (Hiring Range $52,829.00 to $69,999.00 annually)
