Ultimate Staffing is seeking Administrative Support Specialists to work with great clients in the Hunt Valley, MD area.

Typical Job Responsibilites Include:

  • Provide administrative support to ensure efficient operation of the office.
  • Assist with day-to-day operations including answering phones, managing correspondence, and organizing files.
  • Schedule appointments and meetings, and manage calendars for executives or other team members.
  • Make travel arrangements and prepare expense reports.
  • Assist in the preparation of reports, presentations, and other documents.
  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Handle sensitive information in a confidential manner.
  • Coordinate office events and meetings, including setup, catering, and logistics.
  • Act as the point of contact between the executives and internal/external clients.
  • Perform other administrative duties as assigned.
Typical Job Qualifications Include:
  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Proven experience as an administrative assistant, administrative support specialist, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy in work.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work independently with minimal supervision.
  • Discretion and confidentiality in handling sensitive information.
  • Strong problem-solving skills and resourcefulness.
  • Ability to adapt to changing priorities and work well under pressure.
  • Professional demeanor and interpersonal skills for interacting with colleagues, clients, and vendors.
