The Campus Safety and Operations Administrative Specialist position reports to the Campus Safety Project Manager. This position provides administrative support services necessary to carry out campus safety and operational service functions for the college.
Responsibilities
Perform daily administrative support responsibilities as delegated by the Campus Safety Project Manager.
Update and maintain the accuracy of building floor plans and evacuation maps.
Oversee proper functioning of life safety equipment (AEDs, fire extinguishers, emergency lighting, and eyewash stations) and schedule compliance visits with vendors.
Assist the Campus Safety Project Manager in maintaining the database of room assignments.
Assist with the coordination of small projects for the department.
Support the Campus Safety Project Manager with adding documentation to the digital construction document archive.
Assist the Campus Safety Project Manager and Chief Plant Operator with collecting close-out documents from construction projects and make sure they have been correctly added to the digital construction document archive.
Assist the Campus Safety Project Manager and Chief Plant Operator with reviewing, assigning, and ensuring successful completion of work orders through the Service Desk system.
Schedule rooms and participants for meetings as needed.
Attend, take notes and record minutes for meetings as needed.
Answers telephone, takes messages and answers inquiries within assigned scope of responsibility.
Support the Campus Safety Project Manager with assembling and submitting all required risk management and safety related reporting.
Attend meetings and participate in the Illinois Community College Risk Management Consortium (ICCRMC) Safety Committee along with the Campus Safety Project Manager.
Update and submit emergency manuals for annual ICCB compliance.
Develop training topics for Building Emergency Response Leaders (BERLs), lead meetings, maintain and test emergency BERL radios.
Perform other duties as assigned to support the Campus Safety Project Manager and the Chief Plant Operator.
Assist with access controls programming and monitoring, as needed.
Minimum Qualifications
Two years related administrative or customer service experience required.
High school diploma required; Associate degree preferred.
Microsoft Office computer skills, email and Internet competency required.Ability to become proficient in required departmental software.
Ability to work under stress and to clearly convey thoughts and instructions to others both verbally and in writing.Ability to speak, read, write and comprehend Spanish is a plus.
Ability to multi-task, prioritize calls for service and make sound judgements.
Excellent human relations/customer service skills and a proven ability to function effectively with a wide variety of people in a dynamic environment.
Ability to pass a background investigation covering employment, education, driving, and criminal records.
Ability to prioritize and work with limited supervision.
Ability to maintain strict confidentiality.
