Part-Time Administrative Assistant

We are seeking a reliable and detail-oriented Part-Time Administrative Assistant to join our engineering company. The ideal candidate will provide essential administrative support to ensure smooth daily operations. This position requires excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks efficiently. The Part-Time Administrative Assistant will work closely with various departments and assist in managing administrative tasks to contribute to the overall success of the company.


  • Work with Project Managers monthly to create client invoices.
  • Submit invoices to clients in a timely manner.
  • Add billing terms for new projects and update billing terms for current projects in Vantagepoint.
  • Track client Aged AR and follow up with clients on outstanding invoices.
  • Prepare and maintain documents, reports, and presentations using Microsoft Office or other relevant software.
  • Collaborate with other administrative staff to ensure efficient office operations.
  • Assist with administrative tasks, including answering phone calls, coordinating meetings, taking meeting minutes, handling incoming and outgoing mail, tracking and maintaining office supplies and organizing project-related documentation.
  • Perform other administrative duties as assigned.

  • High school diploma or equivalent.
  • Previous experience in an administrative or office support role is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Exceptional organizational and multitasking abilities, with great attention to detail.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent interpersonal skills and the ability to work effectively in a team.
  • Proactive problem-solving skills and the ability to anticipate needs and provide solutions.
  • Strong work ethic and ability to maintain confidentiality.

Working Hours: This is a part-time position The specific working schedule will be determined in consultation with the successful candidate.
