The University of Miami is seeking an Administrative assistant to work at Sylvester Comprehensive Cancer Center in Coral Springs. The incumbent performs a variety of clerical functions and office support activities for the assigned department(s) to facilitate the efficient operations of the office.

Core Job Functions:

  • Accountabilities (For Non-exempt Employees Include Percent of Effort):
    35% - Responsible for clinical and clerical functions. Performs secretarial duties for the physicians Ensure patients requiring referrals are notified prior to Doctor visit. Obtains same day authorization for procedures, Maintains calendar, schedules appointments/meetings both internally/externally, as needed., Responsible for filing of all correspondence, reports, data, requisitions, journals and for the daily pick up/distribution of physician's mail. Call prescriptions to pharmacies. Obtain prior approvals for office visits and inpatient stays, Also, orders stationery, office supplies/equipment for physicians
  • 25%- Communicate with physicians, nurses, clinical staff, and patients concerning patient care. Answers all incoming calls, screening and dispatching accordingly. (Internal/external calls regarding appointments, patient concerns, meeting scheduling, personnel/personal issues and miscellaneous others). Schedule patient appointments. Triage patient problems and inquiries to the appropriate physician or nurse. Schedules follow up appointments and consults ensuring patient has appropriate information and provides directions to the area, if necessary.
  • 25% - Maintains and updates all patient records. Retrieves and/or assist clinical personnel in retrieving any and all required outside records and in retrieving UM records and results from UM and outside provider EMR systems. Coordinating the physicians review and then submitting all required outside records for scanning into UMs EMR document imaging system. Pulling historical shadow charts for doctors when requested. Faxing results to outside physicians and patients as needed. Maintains and prepares documents for the next day clinic when applicable. Schedule patient tests and procedures with ancillary services in UMHC and JMH (includes lab tests, nuclear medicine studies, X-rays, MRl's, psychosocial, etc.). Coordinate physician contact with home health agencies. Receiving and processing pathology slides.
  • 5%- Maintain physician's calendars, make travel arrangements to include preparation of business expense reimbursement forms. Maintain physician CV
  • 5% - Other related duties as assigned

MINIMUM QUALIFICATIONS
  • Minimum Qualifications (Essential Requirements):
  • 1. High school diploma/GED
    2. Three years related experience required
    3. Proficiency in Microsoft Office programs such as Word, Excel and Outlook
    4. Strong interpersonal communication skill

Any appropriate combination of relevant education, experience and/or certifications may be considered.
