Graymont is seeking a full-time Administrative Assistant at Graymont's Superior, Wisconsin operation. The Administrative Assistant is a fast-paced role that supports the entire plant including supporting safety initiatives, taking meeting notes and leading the plant's Wellness Program. Other responsibilities include, but are not limited to, entering payroll time sheets and production information in JD Edwards (JDE), running daily updates and generating reports from the scale system and creating work and purchase orders.

DUTIES AND RESPONSIBILITIES:

• Manage general office duties, such as interacting with visitors, vendors, contractors and employees

• Maintain office supplies, mail, shipping, etc.

• Assist site staff with administrative duties.

• Enter payroll time sheets and production information in JD Edwards (JDE).

• Maintain employee files and track attendance / vacation balances.

• Review, update, finalize and distribute ODE reports in JDE

• Support Graymont safety initiatives, safety meeting minutes, postings, organization schedule and Wellness program

• Support for creating work orders, purchase orders / requisitions in (JDE)

• Work with Corporate accounts payable, accounts receivable, and payroll departments.

• Support and maintain all office filing, plant files and records: environmental and safety.

• Answer phones and respond to inquiries from customers and staff

• Run daily updates and generate reports from scale system, JDE, Cognos and Excel.

• Perform quality control on data prior to uploading to JDE.

• Interaction with, Staff, Customers, Maintenance and Production personnel on a daily basis.

• Share duties and back-up for other office related duties and other duties as assigned.

• Responsible to organize plant recognition events.

QUALIFICATIONS:

  • Minimum 2 years of experience in a fast paced, multi-tasking office environment.
• Diploma of Collegial Studies or an equivalent combination of education and experience.

• Strong understanding and appreciation of deadlines and commitment to schedules.

• Excellent communication, teamwork and time management skills.

• Strong analytical skills and attention to detail.

• Working knowledge of Microsoft Office (Excel, Word, PowerPoint) and willingness to learn other software.

• Able to work closely with plant personnel as a team contributor and able to work independently.

• Valid Driver's License

• Ability to maintain confidential information as it relates to personnel functions and sensitive business information
