Responsibilities include but are not limited too:
Serve as go-to resource, provide excellent administrative support on Adsup responsibilities and to
various business needs across the organization in a consistent and efficient way
Provide coverage for departments across the organization upon request; support transition of work
by collaborating and executing team deliverables to meet business needs
Responsible for daily functions of reception desk including but not limited to, greeting visitors
conference room management, guest access and maintaining best practices
Partner with stakeholders across the organization to ensure seamless support on office issues
Build and maintain collaborative relationships with peers and stakeholders across the firm
Participate in and support process improvement and efficiencies within team and across
organization by analyzing information, identifying a streamlined approach and clearly
communicating potential solutions (i.e. technology enhancements)
Ensure process and procedures are documented and kept up-to-date
Draft, review, and approve communications, aligned with best practices
Demonstrate strong understanding of culture; recommend activities and processes aligned with
culture and employee engagement
Serves as role model and demonstrates alignment with Administrative Services Core Competencies
Engage with colleagues and stakeholders across the organization to successfully plan and execute
events, meetings or conferences aligned with Baupost's culture, best practices and business needs
Identify opportunities to increase employee engagement in events, meetings or conferences and
enhance the overall employee experience
Resolve potential roadblocks by analyzing information, identifying and communicating solutions
Research and recommend events, vendors, venues or related requests
Build and maintain relationships with essential vendors and venues
Partner with stakeholders to execute the respective legal and financial documents with vendors
Actively participate in event planning process and prepare associated communications; offer creative
solutions aligned with business needs and culture
Responsible for tracking event related details and drafting clear and concise communications
(surveys, post-mortem, summaries)
Participate in the development of tools and resources to ensure successful event, meeting and
conference planning and execution
Track year-over-year information (attendance, budget, data, etc.); identify trends and make
recommendations accordingly
Coordinate and support timely preparation and execution of events, meetings and select trainings
across the organization in partnership with stakeholders (i.e. dates & materials)
