Job Summary/Basic Function:
To perform complex clerical, office administration, and public relations assignments; perform related work.

Department Overview:
The mission of the Department of Criminal Justice is to offer high-quality education to those seeking employment with local and national criminal justice agencies. The Criminal Justice Program has almost 500 undergraduate and graduate students and is the largest in Boise State's School of Public Service.

Level Scope:
Applies skills and job knowledge in area of specialization; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs of area of specialization; may work on non-routine tasks; resolves issues/makes working decisions within area of specialization or responsibility with minimal supervision.

Essential Functions:
The Administrative Assistant 2 must:

  • Assist and support faculty, students, program directors, and program coordinators in the Criminal Justice Program (CJ) within the School of Public Service (SPS) under the supervision of the operations manager. Be able to work effectively with different people in supervisory positions and communicate needs effectively through those groups.
  • Coordinate administrative activities which require frequent contact with executives, the public, other agencies, and campus officials. May attend meetings to relay and collect information.
  • Independently research, analyze, and compile information to prepare reports, handle complaints, or resolve problems; compose correspondence for supervisor on own initiative or from general instructions; format/type a variety of executive, sensitive, confidential, official and/or legal letters and documents.
  • Exercise discretion and independence in applying policies and procedures.
  • Participate as a member of a 14 person "Team Support" staff within SPS that shares/covers tasks for others when workload needs arise.
  • Responsible for the research, compilation, and organization of materials for administrators' use in problem resolution.
  • Responsibility for financial record keeping including monitoring budgets, preparing financial transactions, and meeting compliance regulations as set out by the University and the School of Public Service.
  • Supervise student and support staff or have leadwork responsibilities.
  • May be responsible for ensuring that assignments given to other staff are completed and timelines are met.
  • Process student applications and make key decisions regarding enrollment for students in CJ's undergraduate, graduate, and online programs. This includes meeting strict deadlines and following pre-determined standards for admissions.
  • Track students through their program in Criminal Justice to ensure excellent customer service and stress-free programmatic support.
  • Assist in processing accurate and detailed paperwork for class scheduling, faculty pay, and hiring of student employees, including Graduate Assistants.
  • Develop and document clear processes for the Criminal Justice program and its student support protocols.
  • Make ongoing changes to these processes as the program evolves and as the need arises.
  • Serve as the building coordinator for the Criminal Justice space.

Knowledge, Skills, Abilities:
  • Ability to compose official correspondence, reports, research papers, and other complex documents; providing administrative support to an administrator, director or senior staff member; designing manual and automated record management systems.
  • Some knowledge of supervisory practices; bookkeeping; financial software; state and local government organization structure, functions, and decision-making processes.

Minimum Qualifications:
Good knowledge of:
  • Office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling and summarizing data for reports.

Experience in:
  • Interpreting, applying, and explaining complex information such as regulations, policies or services.
  • Independently solving problems/performing liaison activities in a work setting.
  • Coordinating activities requiring complex arrangements.

Score within the top 25 on the exam.

Preferred Qualifications:

Previous Experience in:
  • Office management or as a higher-level office assistant.
  • Higher Education.

Experience demonstrating the ability to:
  • Interpret and apply rules and procedures.
  • Manage large amounts of data.
  • Utilize clear and concise communication skills.

The starting hourly pay range is from $17.48 to $20.66 depending upon experience.
