The Stead Family Department of Pediatrics, Division of General Pediatrics and Adolescent Medicine is seeking an Administrative Services Coordinator to support the function of the Division Director and Division Coordinator in General Pediatrics. This role will support the daily operations of the Division of General Pediatrics, contribute to the success of the General Pediatrics Division by providing administrative services through the coordination and support of planning, directing, and evaluating operations, and coordinate divisional activities and events; gather and provide information as requested for the department and college.

Duties to include:

  • Support the daily operations of an office, project or program, including coordination of specialized events and activities, appropriateness of expenditures, contract or grant requirements, and changes in policies and procedures.
  • Coordinate and/or administer the operational and/or financial activities associated with the Division of General Pediatrics. Monitor status of projects.
  • Exercise knowledge of HR policies and procedures; may provide basic guidance and advice to division director and others in the division.
  • Analyze program data, develop reports, and oversee activities. Monitors specific divisional accounts/expenditures; reconcile statements. Advise management on budgetary needs or discrepancies.
  • Assist in the coordination/preparation of strategic plans for the division. Monitor strategic plan and make recommendations for change if the business plan is not being met or if the strategic direction has changed. Establish timelines, remind contributors, proof and edit the division strategic plan.
  • Collect, analyze, maintain and provide information on various divisional activities. This information relates to scheduling activities, fellowship program and faculty promotions.
  • Monitor the information on organizational websites pertaining to the division; provide updates and current information as needed.

General Pediatrics & Adolescent Medicine

The Division of General Pediatrics and Adolescent Medicine has a long history of providing innovative care for Iowa's children. The dedicated faculty and health care teams want to make a difference in the health of Iowa's children and families by bringing evidence-based medicine to everyday practice and providing access to specialty care when needed. The division provides exceptional training to residents, medical students, and nurse practitioners who will lead pediatric care in the years ahead.

The division also provides child protection services, palliative care, child advocacy and child policy, and promotes communication between families and physicians and day care providers and physicians. The division also has a Diagnostic Clinic that assists community providers with children with diagnostic challenges or who have complex medical needs. The Division of General Pediatrics and Adolescent Medicine has a certified child car seat safety inspector and promotes education, communication and training for children and families.

Required Qualifications:
  • A Bachelor's degree or an equivalent combination of education and experience is required.
  • 1-3 years of related administrative support experience is required.
  • Excellent written and verbal communication and interpersonal skills are required.
  • Must be proficient in computer software applications (MS Word, Excel, PowerPoint, Outlook).

Highly Desired Qualifications:
  • Experience in providing high level administrative support to physician leadership is highly desirable.
  • Experience in coordinating and developing faculty and resident schedules in a clinical setting is highly desirable.
  • Demonstrated knowledge and understanding of academic medicine.

Desired Qualifications:
  • Experience with grants is desirable.
  • Previous experience providing administrative support to multiple faculty.
  • Knowledge of University policies, procedures, and regulations is desirable.
