Key Responsibilities of Position

  • Under the supervision of the Controller, the Accounts Receivable/Billing Specialist will be responsible for the accounts receivable functions to include, but not limited to, preparation and submission of all relevant recurring billing, collections, contract and budget compliance and analysis, maintenance of fiscal program budgets, and understanding contract compliance as it pertains to the fiscal maintenance of contracts and their perspective budgets and complete the government funder's audit checklist in advance of any scheduled government grant audits.
  • Prepare and submit the monthly or quarterly billing to the appropriate funding source and collect and reconcile accounts receivable.
  • Ensure the appropriate documentation to support check requests and credit card statements is accurate and collected on a timely basis as it relates to the budget and contract requirements.
  • Review program agreements, invoices, time cards, for compliance with applicable laws, regulations, and contract requirements and resolve any inconsistencies.
  • Assist with compiling and maintaining data to support the management of day-to-day activities as related to specific budget areas such as utilities, dues and memberships, telecommunications (including gathering data), entering, and monitoring purchases.
  • Collect and analyze data for programs and prepare analysis and reporting documents for review.
  • Review and maintain monthly department budgeting and accounting reports to maintain expenditure controls.
  • Attend contract administrative and fiscal training workshops offered or mandated by the funding sources.
  • Coordinate program audits and submit information to funding sources.
  • Maintain all master documents (RFP, original contract, budget, scope of work, fiscal reports and all internal and external correspondence) with a user-friendly filing system that is easily accessible to management and outside examiners.

Qualifications

Required:
  • Bachelor's Degree with major/focus in finance, economics, statistics, or business administration or equivalent experience.
  • At least 1+ years of experience in a complex financial support position with responsibilities for budgets, and which includes experience with business analytics, demonstrable excellence in Microsoft applications (Word, Excel, and PowerPoint)
  • At least 2+ years of demonstrated successful experience in a financial setting that includes concrete work experience such as tracking and analyzing budget trends, applicable use of Excel functions such as pivot tables and VLOOKUPS.
  • At least 3+ years of experience in the capacity of financial administrative support in a similar non-profit organization
  • Demonstrated ability to coordinate complex management tasks, work independently, and balance multiple priorities.
  • Strong numeracy and analytical skills.
  • Excellent grasp of financial principles and best practices
  • Excellent interpersonal and written and verbal communication skills
  • Demonstrated knowledge of budgetary process and analysis
  • Demonstrated experience developing and implementing administrative policies and procedures
